Position Summary

The Document Management Specialist will be based at BEO (Bechtel Equipment Operations) office in Sugar Land, TX supporting the organization with their Document and Records Management needs including and not limited to record capture, maintenance, training, establishing procedures, instructions and researching. Some of responsibilities and tasks are outlined below and given the flexibility required in this role, they may vary, or additional responsibilities and tasks may be required to be performed as the dynamics of the business and the Function change.


Responsibilities

  • Author/review functional procedures, plans, instructions, user guides, etc.
  • Provide training in work processes and related systems (Aconex)
  • Coordinate with project and functional `stakeholders to establish lines of communication and ensure capture of all required records in Aconex
  • Management of users, access control groups, and coordination of records in Aconex and Workspaces.
  • Understanding of other tools related to generation of records
  • Provide Document & Records Management support to multiple projects, functions, and BEO business lines.
  • Awareness, understanding and adherence to Corporate and BEO policies and instructions
  • Perform and assist with assessments/audits within the BEO
  • Provide input and testing of Aconex integration into other BEO systems (PEMS, etc.)
  • Any additional tasks Functional management may assign


Qualifications and Skills

Basic Qualifications

  • Must have intermediate skills in MS Excel, MS Word, PDF tools (Adobe, Kofax, etc.)
  • Must have excellent oral and written communication skills.
  • Must be self-motivated and able to work independently.
  • Must have 5+ years’ experience in Bechtel’s Document and Records Management processes.
