POSITION SUMMARY:

Under the supervision of the Senior Vice President, and in collaboration with the leadership of the Department of Ophthalmology, the incumbent will be responsible for practice operations in the Department of Ophthalmology, at Longwood and the suburban locations, but in a collaborative fashion across the network.


ESSENTIAL FUNCTIONS:

The incumbent will be the operational lead for Ophthalmology services at Longwood and the suburban locations. He/she will oversee managers and senior site managers in these locations and help facilitate growth of patient volume and clinical programs, while managing finances, operations, and patient access. He/she will be a leader in the communities we serve.

Primary responsibilities are:

  • Oversees the operations in Ophthalmology locations while working collaboratively with Service Leadership and colleagues across the network.
  • Directly and indirectly supervises clinical operations managers and others in the daily delivery of clinical services.
  • Provides the best patient experience possible for all patients seen in our clinics and addresses patient complaints, requests, and questions.
  • Ensures optimal patient care by re-deploying staff to meet demands of the various practices.
  • Manages the financial planning and performance monitoring of the practice locations. Interfaces with MEE finance teams to ensure that insurance contracting efforts address Ophthalmology billing and reimbursement concerns.
  • Assists the Senior Vice President in implementing new workflows where needed to meet new policies and regulatory compliance changes.
  • Proactively identifies opportunities to improve quality, service, patient satisfaction and financial performance metrics. Develops and implements improvement plans in collaboration with the Organization, Department and Service leadership.
  • Contributes to the implementation of workflow and system improvements, meeting the needs of the Service/ Ophthalmology Department, utilizing the MEE systems including but not limited to EPIC, People Soft, Kronos, Tableau, etc.
  • Participates in the development and monitoring of annual clinical and capital budgets and overall Department goals. Controls and conserves operation expenses and capital purchases aimed at financial stewardship.
  • Actively monitors clinical and ophthalmic imaging equipment needs of sites and collaborates with Department Leadership on the capital purchases strategy for addressing the impacts of advancements in medicine and technology.
  • Participates as a member of the MEE Ambulatory Operations Council and Clinical Operations Group.
  • Participates as an active member of the leadership team in Ophthalmology and is a member of the SVP’s Cabinet and Operations Team Huddle.
  • Serves on committees as needed in a leadership capacity representing Ophthalmology.
  • Works effectively and collaboratively with peers in other departments at MEEI (research administration, finance, clinical billing, physician services, registration, etc.) to affect a robust infrastructure.
  • Coordinates closely with department and hospital education leadership to ensure that the academic mission is integrated with clinical functions.
  • Provides oversight and leadership in the integration of clinical research operations into clinical practice operations as needed.
  • Provides operational support to the Senior Vice President across the network, as needed.


Qualifications:

  • Masters level degree preferred in a relevant discipline or equivalent experience.
  • Interacts with patients, clinical staff and requires collaboration with physicians and scientists as well as regulatory and compliance Departments within MEEI.
  • At least 5 years demonstrated experience and proven ability to lead groups through project management in an academic medical setting.
  • The incumbent must be well organized with the ability to multi-task and work under deadline pressure is essential.
  • Professional demeanor and ability to work with highly confidential information is required.
  • This position requires substantial ability to organize and follow through on details of concurrent tasks, set appropriate priorities, take initiative and corrective action as needed.
  • Individuals must possess strong quantitative, problem-solving, and organizational skills.
  • Strong analytical and communication (both written and verbal) skills are necessary.
  • Good interpersonal management skills and the ability to work independently, without supervision in high volume service areas and with others as a team.
