Job Description
Position Overview
The Director, Facilities Maintenance is responsible for ensuring the proper maintenance of assigned facilities worldwide, leading and managing a large team of employees and external service providers across multiple locations. This position provides leadership, organization, coordination and oversight of the routine, preventative, corrective and planned maintenance operations for Exact Sciences in collaboration with site leadership to meet business requirements and achieve business objectives.
Essential Duties
Include but are not limited to the following:
  • Lead department budget preparation, tracking, financial forecasting and identifying and implementing efficiency and effectiveness programs within facilities in order to manage personnel and costs appropriately.
  • Supervise staff including but not limited to organize and prioritize work, write/conduct performance reviews, train/develop, and manage work performance.
  • Ability to respond to emergency situations after hours, weekends, and holidays as needed.
  • Ability to work nights and/or weekends.
  • Ability to grasp with both hands; pinch with thumb and forefinger; turn with hand/arm; reach above shoulder height.
  • Ability to work on a computer and phone simultaneously.
  • Strong interpersonal and teamwork skills including the ability to easily convey concepts and priorities to peers, customers, leadership, and cross-functional teams required.
  • Support and comply with the company’s Quality Management System policies and procedures.
  • Ability to effectively communicate to all levels within the company and thrive in a fast-paced, ever changing environment.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 50% of a typical working day.
  • Ability to use data analytics to drive business decisions and influence other stakeholders and leadership.
  • Ability and means to travel between all Exact Science locations.

  • Identify and meet customer service expectations for performance of maintenance services, internally and externally performed, including planned and unplanned services.
  • Oversee minor construction, and repair projects with functional resources.
  • Ability to accurately follow procedures with minimal direction.
  • Perform periodic building inspections to assess the current operational condition and code compliance, document findings, and take appropriate follow up action.
  • Prepare required reports for management review and approval and use data to make informed business decisions.
  • Maintain a robust critical parts program to ensure operational uptime and resiliency.
  • Ability to work designated schedule.
  • Provides exceptional customer service by establishing and maintaining routine stakeholder meetings in which appropriate information is proactively furnished regarding impactful activities and feedback is received that can be evaluated and disseminated to appropriate functions.
  • Ensure mechanical systems are operating at the designed efficiency in all operational modes, such as primary heating, ventilating, air-conditioning and refrigeration (HVAC&R) equipment and systems (including components such as boilers, water-cooled chillers, steam generators, cooling towers, roof-mounted air-handling units, energy recovery units and pumps); HVAC&R piping systems (heating hot water, chilled water, refrigerant, steam, etc.) and ductwork; terminal equipment (such as cabinet unit heaters, fin tube radiation, exhaust fans, fume hoods, unit ventilators, etc.).
  • Lead and develop a team of internal maintenance teams and external service providers which proactively maintains and improves facilities as assigned.
  • Strong documentation, attention-to-detail and procedure writing skills suitable for a GMP environment.
  • Partner and assist Corporate Security and Business Continuity teams as the Facilities Maintenance SME in the planning, response and recovery operations for emergency situations and disaster recovery.
  • Identify, develop and build relationships with 3rd party vendors and service providers. Establish contracts and service agreements in partnership with all stakeholders.
  • Effectively collaborate with the Real Estate & Facilities Services (REFS) leadership team to achieve our mission to provide workplaces which enable and inspire Exact Sciences employees to do their best work to eradicate cancer.
  • Maintain morale and support employee engagement initiatives.
  • Strong leadership and coaching capability and ability to motivate, inspire, mentor and train others.
  • Ensure appropriate response to critical alarms, including managing 24/7 on call responsibilities and related procedures.
  • Regular and reliable attendance.
  • Direct and oversee self-performed and vendor-provided services including KPI tracking and ensuring that services are performed following SOPs, MBPs (Maintenance Best Practices) and proper documentation of work completed to meet QMS requirements. Maintain performance metrics and productivity metrics to drive process improvements.
  • Ability to travel 25% of working time away from work location, may include overnight/weekend travel.

  • Communicate goals clearly to employees to ensure understanding and success in achieving them.
  • Review and oversee in-service training programs.
  • Ability to lift up to 75 pounds for approximately 5% of a typical working day.
  • Partner with EH&S team on safety programs and procedures.
  • Partner with Facilities Engineering to develop and maintain an asset management program based on operational cost, reliability, downtime, safety, and end of life of all facilities equipment.
  • Provide strategic direction for the proper corrective, planned, and preventative maintenance of facility systems/safety requirements, including but not limited to, HVAC, plumbing, electrical, life safety, fire suppression, compressed air, water treatment, freezers, refrigerators, and other facility related equipment following SOPs and proper documentation of work completed to meet QMS requirements where applicable.
  • Partner with REFS Project Management Office to ensure effective and efficient operational handover of newly constructed spaces.
  • Maintain compliance with all regulatory standards, including but not limited to GMP, OSHA, FDA, DNR, CLIA/CAP, WDATCP and USDA and other health/safety and environmental related regulations.
  • Ability to develop/transfer and thoroughly document new processes and procedures.
  • Consult and advise leadership regarding alteration of existing structures and capital improvements.
  • Ability to work seated for approximately 50% of a typical working day. Ability to work standing for approximately 50% of a typical working day.
  • Ability to comply with any applicable personal protective equipment requirements.
  • Partner with Facilities Engineering team to make efficiency and operational improvements.
  • Direct assigned investigations, non-conformances, and CAPAs as they relate facilities maintenance.
  • Ability to lift up to 40 pounds for approximately 10% of a typical working day.
  • Lead and recommend short and long-range operating objectives, organizational structure, staffing requirements and succession plans.
  • Oversee the integrity of architectural systems (such as window, wall, roof, electrical, emergency power, fire protection/detection and/or data/technology/security systems). Partner with architects and contractors on the design, construction or major alteration of Exact Sciences buildings, reviewing and assisting in making changes in plans, specifications, and commissioning activities.
  • Advise leadership on status and approve work requisitions; prepare plans, sketches and specifications for maintenance work; Inspect buildings safety, work quality and needed repairs.
  • Ability to use a telephone through a headset.
  • Ensure compliant use of CMMS, ensuring equipment and work orders are updated accurately and timely. Actively suggest and participate in CMMS improvements and changes led by Facilities Engineering team.
Minimum Qualifications
  • 7+ years of experience leading or directing people and/or project teams.
  • Possession of a valid driver's license, no more than two moving violations in the past 36 months, and no unresolved license revocation or suspension issues.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Proficient in Microsoft Office.
  • Professional working knowledge interfacing with various regulatory agencies and auditors.
  • 12+ years of related experience overseeing management of facilities departments.
  • Basic computer skills to include Internet navigation, Email usage, and word processing.
  • 7+ years of experience with BMS and CMMS systems.
  • Professional working knowledge or previous experience implementing and managing computer integrated facility management solutions.
  • Bachelor’s degree in mechanical, electrical or chemical engineering, or related field.
Preferred Qualifications
  • Experience participating in or managing a sustainability effort including opportunity identification, project prioritization, metric development and reporting, employee engagement, policy development, and practice implementation.
  • FMP, SFP, CFM or similar certification(s).
  • 5+ years of experience Professional working knowledge of experience with CAP/CLIA regulations, in a GMP and/or ISO 13485 environment.

Salary Range:
$168,000.00 - $268,000.00
The annual base salary shown is for this position located in US - WI - Madison on a full-time basis and may differ by hiring location. In addition, this position is bonus eligible, and is eligible to receive company stock upon hire as well as annually.
