Illinois Residency Requirement: This position requires Illinois residency within 180 calendar days of the start date.
The University Housing Facilities Management department is currently seeking a Customer Service Representative to serve as a point of contact for residents and customers, and to ensure the ongoing success of the Housing department and University.
Responsibilities And Duties
  • Banner processing (i.e. Payroll, PEALEAV, creates time cards, overtime processing).
  • Responsible for customer service complaints or feedback from residents and the necessary follow up; will represent Housing and UHFM in both the office and in the field and respond accurately and assist as needed.
  • Data entry in TMA (Computerized Maintenance Management System (CMMS)) including,but not limited to creating and assigning work orders, posting time, and tracking completed
  • Opening the office at 6:00 A.M. to prepare for business operation. Retrieve and document voicemail and after hours TEAMS messages, communicate absences for the day and work the browse to ensure Crafts have all new work orders, especially urgent ones, as they plan the day to ensure resident satisfaction is prioritized.

  • Coordinates UHFM student employment, extra help and employees department orientation and required documentation. Includes indirect supervision of student custodial staff.
  • Responsible for key audits including maintaining key tracker spreadsheet.
  • Maintain radio inventory and troubleshooting of radios.
  • Provide general clerical support as requested by Supervisor, Associate Director of UHFM or communicated through departmental protocol.
  • Creates, updates, revises, and retrieves personnel files including a unit wide absence calendar, HR personnel forms, and leave documents.
  • Calculation, processing, and payment of extra help benefits.
  • Answering phones/TEAMS messaging, maintains a record of client feedback, resolves customer requests and guest/vendor management, including distribution of keys.
The Customer Service Representative may be assigned additional duties in support of the department's mission and goals.

Minimum Acceptable Qualifications
  • Responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience.
  • Any combination totaling three years from the following categories:
  • High school graduation or equivalent.
  • College coursework which included courses in business administration, communications, public relations or similar area of study as measured by the following conversion table or its proportional equivalent:
30 semester hours equals 1 year.
60 semester hours equals 2 years.
90 semester hours equals 3 years.
120 semester hours equals 4 years.
