General Summary


The Court Clerk performs a wide variety of clerical duties in support of the operations and services of the City Court; processing case information, docketing and reporting accurate case file information to the public and defendants; frequent public contact including cashiering/taking payments, answering phone calls, and supporting judicial and administrative personnel.


Essential Duties & Responsibilities


The following dutiesare notintended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.


Provides a variety of support services to the Judge in the courtroom during criminal cases, including calling the docket, recording proceedings on docket sheets, answering questions, and interfacing with attorneys and witnesses regarding court policies and procedures


Reviews the need for failure to appear orders. Prepares warrants, summonses, court orders to show cause, and other court related documents for the Judges signature


Maintains computerized criminal court database and other court files, including entering information regarding citations, court appearance dates and actions by the court, noting requests for continuances, and filing documents in appropriate files


Prepares and processes cases such as misdemeanor, civil traffic, parking violations, and other civil matters in compliance with legal requirements and procedures


Assistspublic at information counter and on the telephone, resolving various levels of customer service needs


Enters, edits, and retrieves data utilizing court-specific computer software


Performsfile management functions including alphabetical and numerical case filing, creating new case files, tracking case files, matching documents to case files, and researching record requests


Collects, posts, and balances fines andfees.Reconciles daily cash transactions using court-specific computer software and Microsoft Excel


Sortsand separates internal, external, and hand delivered correspondence and case documents


Minimum Entrance Qualifications


Performs other duties as assigned or required.


Education And Experience


High School diploma or GED equivalent.


One (1) year of court experience.


An equivalent combination of training and experience. Knowledge and experience of AJACS case management system and collection procedures preferred.

Bilingual Skills (English/Spanish) Preferred.

City Code, Arizona court system, Arizona Revised Statutes, Arizona Rules of Civil and Criminal Procedures, and legal terminology and courtroom behavior.


AJACS case management software.

Establishing and maintaining cooperative working relationships with employees, officials, other agencies and the general public.


Operating a personal computer utilizing a variety of business software including AJACS court comput
