Job Description

Job Title: Sr. Communications Specialist/Executive Coordinator

Onsite: San Rafeal, CA

Contract Duration: 05 months


Summary:

We have approximately a 5-month temporary position for a Sr. Communications Specialist/Executive Coordinator to support the Chief Communications Officer with programs across the function. This individual will manage the planning and execution of key company-wide communications programs and events, provide day-to-day support for the company’s internet and intranet, and coordinate with the team on the distribution of daily media monitoring reports. This role will also include administrative support for the CCO and team.


Responsibilities:

Coordinate with Digital and Internal Communications colleagues to help manage the company’s intranet and external website, making non-technical updates and supervising external design agency for certain complex, technical ones

Work with Corporate Communications colleagues on company-wide events, including awareness day celebrations, gift distributions and town hall meetings

Serve as liaison and first reviewer of requests for charitable donations to local groups

Manage inquires to Corporate Communications mailbox

Manage budget in partnership with CCO, helping to flag potential issues and prioritize spend as our scope grows

Work with contracts team to ensure timely onboarding of new vendors and processing of contracts for existing vendors

Help team first establish and then grow

Organize and manage team meetings and off-site team meetings, as necessary

Manage CCO’s schedule, including scheduling meetings and planning travel, additionally, assist other members to a lesser degree


Strong communication and collaboration skills

Sound judgment, creativity in problem solving and an ability to identify potential problems

4+ years of communications or related experience

Intermediate PowerPoint presentation and spreadsheet skills and a willingness/desire to continue to enhance that skillset

Basic knowledge of SharePoint and WordPress or willingness to be trained with these programs

Proven success in a project coordination role

Nimble business mind with a focus on developing creative solutions

Strong project reporting skills, with a focus on interdepartmental communication

Experience with budget management

Consulting experience with a focus on operations management
