- Prepare and distribute closing packages and documents to all parties involved, ensuring accuracy and completeness.
- Keep abreast of industry regulations, best practices, and changes in closing procedures to ensure compliance and improve efficiency.
- Provide exceptional customer service by promptly responding to inquiries and addressing any concerns or issues that may arise during the closing process.
- Prepare closing statements, settlement statements, and other necessary documents required for closing.
- Update the company’s CRM regularly
- Coordinate and schedule the recording of documents with the appropriate county clerk or recorder's office.
- Review purchase contracts, title commitments, and other relevant documents to identify any issues or discrepancies that may affect the closing process, and ensure appropriate action is taken to resolve them.
- Maintain accurate and up-to-date records, files, and documentation related to each closing transaction.
- Communicate and collaborate with buyers, sellers, real estate agents, lenders, attorneys, and other parties involved to obtain necessary documentation and information for closing.
- Send out client reviews after the completion of a transaction
- Complete weekly company reporting for property sales, listings, deals sources

- Schedule and coordinate closing dates, times, and locations that are convenient for all parties involved.
- Facilitate the collection and disbursement of funds, including earnest money, down payments, closing costs, and loan proceeds, ensuring compliance with all legal and regulatory requirements.
- Make calls, monitor and respond to emails, and update company spreadsheets
- Coordinate and oversee all aspects of the closing process from contract to closing, ensuring compliance with all legal, regulatory, and contractual obligations.
- High school diploma or equivalent qualification. Additional certification in real estate, paralegal studies, or a related field is preferred
- Strong organizational, multitasking, and time management skills with the ability to prioritize and meet deadlines in a fast-paced environment.
- Familiarity with title commitments, settlement statements, contracts, and other relevant real estate documents.
- Excellent communication and interpersonal skills to effectively collaborate and build positive relationships with various parties involved.
- Proficient in relevant computer software and tools, including Microsoft Office and closing software.
- Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued
- Attention to detail and accuracy in reviewing documents and ensuring compliance.
- Strong problem-solving skills and the ability to work under pressure while maintaining a positive attitude.
- Ability to work independently as well as part of a team, and handle confidential information with utmost integrity.
- In-depth knowledge of real estate transaction procedures, regulations, and requirements.
- Flexibility to adapt to changes and handle unexpected challenges during the closing process.
