A DAY IN THE LIFE OF ANClinical Services, Administrative Assistant
This role will provide administrative support for the Clinical Services Department. This role will be responsible for monitoring supply inventory levels, tiding office common spaces, assisting the team with scanning and organizing, scheduling meetings/interviews, communicating with vendors about supply needs and ordering supplies. Helps monitor failed faxes, delivers packages to other departments and assist the leadership team with additional projects/ needs as needed.

EDUCATION/EXPERIENCE REQUIRED (partial list*)
  • Clear and direct communication style
  • Schedule appointments and maintain calendars.
  • Other duties as requested or assigned.
  • Schedule and coordinate staff and other meetings when instructed.
  • Review and edit documents as delegated.
  • Facility event management and specific projects as delegated
  • Handling office tasks, such as filing, setting up for meetings, and reordering supplies.
  • Professional appearance and interpersonal manner
  • Proficiency in Microsoft Office, Adobe Acrobat/Foxit PDF, and Outlook 365
  • Answer phones and greet visitors.
  • High school diploma or equivalent required; college degree or some post-high-school course work an asset.
  • Maintain office common area appearances and supply inventory.
  • Perform clerical duties such as proofreading, data entry, filing, photocopying, and faxing.
  • Minimum of one year of experience in a related position preferred
  • Strong organization and time management skills
  • Help department trainers maintain updated employee files and training materials.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Light executive assisting as requested
  • Distribution/organization of department deliveries and supplies.
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
  • Anticipate the needs of others to ensure their seamless and positive experience.
  • General staff support.
WORK SCHEDULE
In office M-F, 40 hours/week, working hours are flexible but typically 8:00 AM - 4:30 PM.
