Overview
CDL Utilitieshas an immediate need for a dedicated and reliableBilingual Office Administrator. We are looking for a hard-working and well organized individual comfortable with managing responsibilities across a range of business functions (e.g., billing, HR, etc.). The Office Administrator duties and responsibilities will include communicating with customers via email and phone, maintaining tracking spreadsheets, assisting with billing and QuickBooks data entry. This is a great opportunity for someone who has some previous office management experience but is interested in expanding their responsibilities to include other business areas.
Responsibilities:
- Monitor and edit job information in company tracking software.
- Manage office operations and procedures.
- Provide general support to visitors.
- Schedule meetings and appointments.
- Manage the office layout and order stationery and equipment.
- Partner with HR to update and maintain office policies as necessary.
- Communicate with customers, monitor company inboxes and relay job/customer information to the appropriate department.
- Manage office General and Administrative budget, ensure accurate and timely reporting.
- Maintain the office condition and arrange necessary repairs.
- Plan in-house or off-site activities, like parties, celebrations and conferences.
- Address employee's queries regarding office management issues (e.g., stationery, supplies, and travel arrangements).
- Assist in the hiring and onboarding process for new employees.
- Serve as the point person for office management duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping, etc.
- Support accounting department (e.g., invoicing, purchase orders, expenses, etc.).
Qualifications:
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong organizational and planning skills in a fast-paced environment.
- Must be bilingual in Spanish and English.
- An inquisitive mind with an ability to suggest improvements.
- Ability to communicate effectively with team members and/or customers.
- Experience as an Office Manager, Office Administrator or Administrative Assistant.
- Proficiency in MS Office products (e.g., Excel, Outlook, OneDrive, Word).
- Attention to detail and problem solving skills.
- Associates or higher degree preferred.
- High School degree required.
- Excellent written and verbal communication skills.
- Knowledge of office administrator responsibilities, systems and procedures.
- Must be authorized to work in the United States.
- Ability to work independently.
- Must be able to pass drug, criminal, and background checks.
