Job Description

The Broken Sound Club. a five star Platinum Club of America seeks a talented Banquet Set Up Manager to join our team of Hospitality Professionals. If this Position description sounds like you, we want to meet you.

Position Summary

Supervises all aspects of operation set-ups from preparation, setup, breakdown through storage. Provides consistent supervision to set-up staff to ensure standards for safety, sanitation, quality, presentation and maintenance of member satisfaction at all times. Interacts closely with the Director of Banquets and others to ensure that Club standards are being maintained and that financial goals are attained for each event. Should possess proven ability to communicate effectively in both written and oral formats with staff, management and client/members.

JOB RESPONSIBILITIES

  • Attends Friday 9:30am Food & Beverage meetings to ensure department communication.
  • Plans ahead and discusses options and ideas with catering staff regarding member expectations and requirements, in coordination with the Director.
  • Records all specifications and pertinent information concerning the event.
  • Returns all phone calls within 24 hours of their receipt. If unable, coordinate handling by a colleague.
  • Greets members and clients as they arrive to the clubhouse / office. In the morning use the standard greeting “Good Morning Madam / Sir” or even the member’s last name. In the afternoon, “Good Afternoon, Madam / Sir” and in the evening “good Evening, Madam /Sir.”
  • Completes pre-planning tasks in advance of event, such as development of buffet floorplans, review of equipment needs for front and back of the house, weather overview and discussion of back-up plans, gathering of information for room resetting.
  • Works through employees to assist with the gathering of items specific to events. Items can include, but not limited to chaffing dishes, plates, glassware or disposable items.
  • May act as member relations representative by answering member questions and supplying information.
  • Trains and follows up with staff regarding Audio – Visual equipment and setup.
  • Assists in departmental decisions regarding policies, procedures and implementing new services.
  • Maintains regular equipment pars and inspects equipment for damage, submits work orders as needed to repair damaged equipment.
  • Is highly visible within the operational needs of the department and consistently follows up with employees on progress of work assigned.
  • Assists with the execution of the food and beverage events as needed.
  • May request staffing levels for set-up days from Restaurant Managers.
  • Consistently walks the property both inside and outside and submits work orders as needed to maintain the cleanliness and integrity of the product we provide.
  • Creates daily and weekly to do lists while monitoring upcoming event setups.
  • Review daily and weekly Banquet Event Orders (BEOs).
  • Meets with management to develop and improve operating procedures and standards.
  • May prepare and post weekly schedules to ensure appropriate staffing levels and adjusts based on the peaks and valleys of the business.
  • Follow up if requests have not been met once schedules are posted and requests any further changes if needed.
  • Evaluates staff and issues discipline accordingly to coach and council employees and or managers.
