Working in a team-oriented environment, must utilize sound judgment and confidentiality, excellent organizational and prioritization skills to handle concurrent tasks in an efficient and timely manner, excellent communication skills, and superior skills in dealing with people courteously and effectively in person and on the telephone. Duties include:
- Assist the athletic director with daily tasks.
- Work nights and weekends for all home athletic and community events as they pertain to CSI Athletics.
- Supervising work-studies and assign jobs to them.
- Responsible for monies taken at concession and gym events and are accurately counted and deposited at the end of the day/night.
- Oversee and maintain reserved seating in the gym to include invoicing seat holders, providing receipts, making follow-up phone calls, and sending tickets to appropriate buyers.
- Advises athletic director of any issues within the athletic
- Assist in fundraising and help facilitate fundraising events. (Fall Fest, Golf Tournaments, and any other fundraising efforts)
- Perform other duties as deemed necessary and required.
- Provide and maintain clerical and administrative support for the athletic department.
- Create and maintain office documents such as invoicing corporate sponsors, create reports and data sheets, and vouchers for staff reimbursements.
- Oversee and operate the admission ticket counters at the Gym, Softball, and Baseball. Includes hiring employees and helping work when needed.
- Creates and tracks purchase orders.
- Assist in the planning of the annual sophomore banquet.
- Responsible for money received from corporate sponsors, reserved seat holders, sports camps, donations, etc. and accurately put into proper accounts.
- Assist in the planning and attend all CSI events sponsored by CSI Athletics.
- Accompany the Athletic Director and take minutes at annual SWAC Meetings.
- Overall office keeping such as arranging for repair and maintenance of office equipment, receive, store and maintain inventory of office supplies and equipment, and send, receive and sort mail and other packages.
- Supervises the maintenance of all student-athlete files, insurance documents and other important files pertaining to athletes.
- Present a professional, welcoming first contact to customers, vendors, corporate sponsors, reserved seat holders, etc.
- Oversee and operate the concession stands at the Gym, Softball, Baseball and Expo. To include ordering product, hiring employees and helping work when needed.
- Help organize and set-up game management duties.
- Excellent customer relation skills; ability to be firm but compassionate.
- Ability to maintain confidentiality in all personnel matters.
- Possess superior skills in dealing with people courteously and effectively.
- Experience in easily handling constant change.
- Ability to manage multiple, complex projects concurrently with good judgment and professionalism in dealing with pressures and meeting deadlines.
- Possess excellent writing skills, including grammar, punctuation, and proofreading skills.
- Possess critical thinking skills and be a self-motivator.
- Be proficient in word processing, Microsoft Office programs (Word and Excel in particular). Internet and E-mail, Publisher, PowerPoint, photocopier, and telephone system. Prefer web design and/or management experience.
