Job Description
About the Role
The Associate Manager, Facilities position is responsible for working in conjunction with the Sr. Manager of Building Operations and the 3PL for the management of all building maintenance and facilities. This position oversees and directs the repairs and maintenance of the building and physical property, ensuring a clean and safe environment which contributes to the continuous improvement of Distribution Center operations. This person collaborates with corporate headquarters, and all departments in our Distribution Center to execute continuous process improvement programs in a timely and effective manner.


You’ll Make a Difference By
  • Proactively inspecting facility, grounds, and equipment and report any issues to the Sr. Manager of Building Operations and Maintenance Department
  • Providing department oversight in the absence of the Sr. Manager of Building Operations
  • Managing vendor relationships and trains vendors on work order and billing procedures.
  • Performing facilities inspections and prepares reports. Ensures all external required inspections (elevator, fire, safety, etc.) are completed on time.
  • Overseeing the grounds, exteriors of all buildings, and parking lot maintenance
  • Maintaining relationship with building owners including understanding the lease to identify who is responsible for costs of repair and/or replacement.
  • Supervising all contract personnel and vendors; must be thoroughly familiar with vendor agreements and contracts
  • Overseeing and/or coordinating maintenance/repair work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping, and janitorial work.
  • Conducting timely inventories of cleaning supplies, paper goods, and any other supplies that support Operations and orders replacements
  • Supporting the Sr. Manager of Building Operations with day-to-day operations of the distribution facility.
  • Processing invoices and ensures proper cost center coding.
  • Responding to client inquires and complaints. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction


Safety/Security
  • In partnership with Risk Management, Engineering and Operations, oversees safety initiatives in the Distribution Center including safety training activities, content development, training delivery and effectiveness measurement
  • Utilizes knowledge of codes such as the National Electric Code (NEC) and Occupational Safety and Health Administration (OSHA) to coordinate activities with outside regulatory agencies to ensure compliance OSHA, federal, state and local codes and regulations
  • Leads the HUB Office Emergency Response team
  • Works with on-site security team to manage security issues and problems to come to resolution

About You
  • High school diploma or general education degree (GED). Minimum of four years of related progressive experience and/or training in facilities management.

CERTIFICATES and/or LICENSES
  • Certifications in electrical or plumbing is a plus
  • Driver's license
  • Facility Management certification is desired

COMMUNICATION SKILLS
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


FINANCIAL KNOWLEDGE
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


REASONING ABILITY
Requires basic analytical skills and the ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Must be able to troubleshoot/fix various problems or issues.


OTHER SKILLS and/or ABILITIES
  • Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet
  • Position may require evening and weekend hours; must be able to work to maintain operations as needed, including being on-call for building issues
  • Must be able to read and understand blueprints and construction specifications

The salary rate for this position is $60,000 - 70,000 per year.
The salary is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data for geographic locations.
