GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
You are vital to the day-to-day operations of Director and CEO’s Office, and coordinate many aspects to assist in efficiently managing the office, which has a wide purview of both internal and external stakeholders for the museum. You provide support for the Director and CEO, Senior Administrator, and Senior Project Manager. This role requires excellent interpersonal skills, and you must be organized, computer proficient including Outlook calendar management, able to multi-task, meet deadlines, and resourcefully problem solve.
PRIMARY RESPONSIBILITIES & DUTIES:
At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.

PRIMARY RESPONSIBILITIES & DUTIES:
- Manage living artist membership program and ICOM Card distribution for the museum
- Assist with scheduling and preparing the Director and CEO for meetings
- Respond to daily inquiries and requests from within and outside the Museum, including welcoming guests to the Director and CEO’s Office and answering the main telephone line.
- Support coordinating Director and CEO’s travel arrangements and processing expense reports in Workday
- Other related administrative duties as assigned
- Provide administrative support for both Senior Administrator and Senior Project Manager, including assisting with taking notes during meetings, scheduling, filing, photocopying, in addition to completing research requests
- Coordinate incoming mail and packages, pick up, sort, and open mail and packages from Receiving
- Experience with Outlook, PowerPoint, Excel, Photoshop, and Workday
- Excellent verbal and written communications skills
- Excellent organizational skills, including the ability to manage time and multitask
- Background in art history, art education, or art administration
- Minimum of three years working in an administrative capacity required, previous experience managing complex calendars preferred
- Excellent written and verbal communication skills, interpersonal skills (including professional telephone manner), and organizational skills
- Embraces role as a team player and builds collaborative relationships
- Bachelors degree or equivalent experience
- Knowledge of foreign language helpful

- The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The advertised pay scale is not a promise of a particular wage for any specific employee. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.
- Pay Range: $33 - $34/hour
