Panagora seeks an experienced, resourceful, detail-oriented, high-performing individual to provide administrative and strategic support to the manager of executive and corporate operations in their support of Panagora’s President & CEO and, as needed, to other members of the executive team. This position will also be responsible for implementation of select activities and projects that cross between the corporate operations department, which includes information technology (IT), office administration, and global human resources (GHR), corporate communications, and the finance department. On a periodic basis and in accordance with company needs and individual expertise, the associate will take on new business and technical assignments.


Duties And Responsibilities


The associate will support the manager of executive and corporate operations in the following job functions related to Executive Operations:


  • Manage the President & CEO’s schedule.
  • Manage high volume of e-mails and correspondence and initiate appropriate actions.
  • Provide support in real time to shifting priorities ensuring strategic use of the President & CEOs time.
  • Manage President & CEO insurance coverage including health, long term[FB1] care, and life.
  • Provide comprehensive administrative and logistical support to Panagora’s President & CEO and, as needed, to the executive team.
  • Provide detailed briefings, research, and background documents for meetings, events, speaking engagements, and trips.
  • Create, organize, and maintain President & CEOs online and offline files.
  • Manage President & CEO’s expense reports and reimbursements through Costpoint.
  • Manage special projects and assignments as required.
  • Manage travel arrangements and arranging out-of-town meetings.
  • Manage the executive’s database of contacts.
  • Manage a variety of administrative tasks including copying, faxing, and taking notes.
  • Manage timely processing of documents requiring executive team signatures.
  • Act as a liaison and manage communication between the executive and clients, and other stakeholders; act as an extension to the executive when needed.


The associate will support the manager of executive and corporate operations in the following job functions related to Corporate Operations:


  • Conduct audits of email handles and licenses.
  • Provide general operations support including supporting staff meetings and event logistics, procuring supplies including food and equipment.
  • Complete annual WOSB/WBE recertification.
  • Manage corporate credit card including transaction support and documents to ensure proper receipt and approval, correct coding, and preparing expense reports in Costpoint.
  • Manage travel operations and oversee travel manager, including registering travelers in travel management system, troubleshooting issues, and providing final approval of travel for ticketing.
  • Conduct annual audit of home office leave accruals, process bi-monthly leave accruals in Costpoint, calculate leave payouts for departing employees, and reconcile leave discrepancies with AMTs.


Requirements


  • 2+ years of C-Suite level EA experience required.
  • Experience working for an organization providing consulting services to the federal government is highly preferred.
  • Bachelor’s degree.
  • Demonstrated proficiency in Microsoft Outlook, Word, PowerPoint, Excel; experience with Unanet for expense reporting; and using web conferencing and other digital platforms.
  • A committed, reliable, friendly team player willing to work hours necessary to complete the job with a "no job is too small" attitude.
  • Proven ability to handle confidential information with discretion and to manage and make progress on multiple projects simultaneously.
  • Excellent written and verbal communication and interpersonal skills and ability to draft high quality written materials and correspondence.
