Job Description

Position Purpose:

This individual is responsible for routing select Marketing and customer Marketing Team design projects, which includes assigning and scheduling, trafficking through all stages from concept through to completion, as well as evaluating project needs, recommending project solutions, estimating schedules, communicating due dates and tracking approvals. In addition, they will be responsible for and manage resource capacity by balancing and assigning work based on skill sets and availability. A critical focus for this job will be a strong cross-functional team collaboration and management to accomplish key milestones for each project. This position reports to creative project manager. The role requires strong priority setting skills and attention to detail.

Essential Job Functions & Responsibilities:

Creative Design Project Workflow

  • Make resource assignment based on assessment of project requirements and by applying knowledge of staff skill sets. Negotiate deadlines with project owners, as well as re-prioritize active projects to gain availability of appropriate resources.
  • Responsible for maintaining Project Management website, setting up new accounts, assigning correct people for review and cleaning up tasks where necessary.
  • Status Reporting: Provided weekly, monthly status reporting regarding project milestones, deliverables, dependencies, managing risk and issues.
  • Review artwork requests for accuracy and work closely with cross-functional teams to ensure the creative team has the information and resources they need to deliver timely, on budget, quality execution of several complex projects at once.
  • Identify process gaps and work to adapt workflows as process changes.
  • Assign work requests and coordinate day-to-day schedules of designers to meet utilization and productivity targets and minimize overtime. Alert leadership of any workload issues.

Process/Workflow Management

  • Assist with special projects, as needed.
  • Identify work streams that assist the marketing and customer marketing team that help streamline the product development process between Devex and Webcenter
  • Proofreads all artwork/digital proofs when needed to assist print production team.
  • Drive approval process through appropriate channels, partnering with cross-functional teams to ensure that work is moving through creative process efficiently, with a focus on meeting daily deadlines.
  • Maintain, track and assist with Global DAM system (Bynder)
  • Ensure all projects are delivered on time, within scope and under budget.
  • Assist in sending art files when necessary.
  • Manage multiple complex tasks simultaneously and exhibit the ability to shift focus and direction when necessary.

Qualifications & Requirements:

Experience:

  • 3+ years project coordination/management, traffic or marketing experience, preferable in an agency or in-house design studio

Skills & Knowledge:

  • Extremely Detail Oriented with ability to prioritize and multitask in a fast paced creative environment
  • Strong knowledge of creative, print production, digital and media process
  • Exceptional Project Management skills
  • Must have solid and written and verbal communication skills

Education:

  • Bachelors degree
