About the position:


The Associate, Climate and Disaster Resilience role is an administrative support role that works closely with the Senior Manager of US Programs to ensure the efficient implementation of the Climate and Disaster Resilience (CDR) portfolio.


The Associate will be responsible for support with day-to-day tasks including, but not limited to regular communication activities for the projects, scheduling and meeting set ups, agenda circulation and minute taking, as well as organizing and systematizing data. While working with the Senior Manager of US Programs, the role will interface with a wide variety of internal and external partners and stakeholders.


The Associate will also provide core support to US Programs by managing the general email inbox and phone line.


While this position is not housed in the Medicine Security pillar, Medicine Security is built into the foundation of all Americares work. As such, all staff are expected to play a role in this area. For this position, that will look like cross-training and back up support on assignments related to medicine security on an as needed basis.


Key Outcomes:


In the first 90 day s , the Associate will :
  • Gain knowledge of the frequency and schedule of meetings as well as the meeting agendas within the CDR portfolio.
  • Understand the reporting requirements and processes associated with the US CDR projects.
  • Begin initial cross-training in Medicine Security (this will continue throughout the year to ensure the Associate stays up to date on policies and procedures).
  • Review all relevant documents and processes related to the US CDR portfolio.
  • Recognize key stakeholders within the portfolio and understand their roles and responsibilities.
  • Understanding of meeting cadence, meeting agendas and reporting processes:
  • Become proficient in Navigation of Administrative Structures and Systems:
  • Become familiar with US CDR Portfolio:
  • Effectively utilize SharePoint, Smartsheets , remote meeting platforms, and other administrative tools.


In the first 6 month s, the Associate will :
  • Streamline email communications, ensuring effective and timely correspondence with relevant stakeholders.
  • Provide high quality c linic c ommunication s :
  • Timely preparation of weekly agendas for each meeting, facilitating focused discussions and efficient use of time.
  • Provide meeting support and documentation independently:
  • Successful submission of grant applications, agreements and payments
  • Wok collaboratively with p artner o rganization s to ensure comprehensive and relevant meeting agendas.
  • Accurate and detailed note-taking during meetings, capturing key discussions, decisions, and action items.
  • Contribute to clinic outreach efforts, resulting in increased clinic engagement and participation.


In the first yea r, the Associate will:


  • Collaborate closely with the US CDR Senior Manager to understand program needs and priorities.
  • Assist the Senior Manager in various tasks, such as coordinating meetings, preparing reports, and managing communication with stakeholders.
  • Provide timely and efficient support to ensure the smooth operation of the US CDR program and assist in achieving its goals
  • Support US CDR Senior Manager:


Duties and Responsibilities :


Administrative and Planning Support


  • Provide logistical support for Conferences and Trainings for the CDR projects
  • Support the Senior Manager with follow up on action points outlined at meeting including aggregating document content from multiple teams, gathering and organization information
  • Track project deadlines and support the project team in meeting those deadlines
  • Manage assigned meetings to include scheduling, agenda circulation, taking and disseminating minutes
  • Reinforce knowledge management guidelines currently in development to help support file organization via SharePoint sites
  • Assist with invoice process to facilitate payments


Communications and Program Support


  • Research sources of information on climate and health, as well as other related topics as required
  • Assist in other communications support as assigned
  • Support CDR projects to include but not limited to partner communication and reporting
  • Assist in regular report preparation as needed
  • Support preparation/development of power point presentations for internal and external audiences
  • Collect partner stories and project successes to be shared with Americares external constituents

  • You have excellent interpersonal, time management, and prioritization skills
  • You have language skills in at least one of our core languages , other than English : Spanish, Tagalog, Hindi, Kiswahili, Haitian Creole (this would be a plus, but is not a requirement)
  • You have demonstrated an ability to work across teams with diverse backgrounds with cultural humility.
  • Y ou have US work authorization ( required )
  • You have 2-3 years of administrative support experience, or a bachelor's degree with 1 year of experience (including internships and work study experiences)
  • You have Microsoft Office proficiency (including, Outlook, Word, Excel and PowerPoint) and you are adept in using meeting and audiovisual techno logies (Zoom, Teams, etc )
  • You have demonstrated excellence in communication, both verbal and written skills
