With nearly 20,000 of items in our collection, traditional and non-traditional storage spaces, two major exhibitions per year and three mansion rotations Hillwood Estate, Museum & Gardens is seeking an Assistant Registrar to join a team that believes success is founded in proactive and positive communication.

Role Overview:

With your experience working in TMS, you are comfortable joining Hillwood as a database co-admin to create, organize and clean up object files. You bring knowledge of TMS and you are excited to work with Hillwood’s IT team to maximize our digital asset management system and online catalog, maximize and troubleshoot in TMS.You are also very comfortable working on domestic and international loans and you have first-hand experience in dealing with loan logistics. Your work experience has given you a well-rounded understanding of the work that happens in collections management.You understand how to handle objects of all types, and you have knowledge of how to install and deinstall objects and are able to use that knowledge to oversee contractors.

The day to day responsibilities for the Assistant Registrar will be project based. Starting out, the primary project is TMS cleanup. This includes creating a data entry guide and working collaboratively in cross-departmental settings to implement the new guidelines. As the Assistant Registrar, you will work alongside the Collections Manager on loan logistics and work on exhibition related tasks. After the TMS project is underway, additional projects include inventory and working with curators, conservation technicians, and the prepartor on storage solutions. The Assistant Registrar will be part of a team that troubleshoots issues that are inherent in a historic home setting.

We are seeking an Assistant Registrar with deep TMS skills and a knowledge of loans. The Assistant Registrar also understands that good communication means sharing information with everyone who needs it, who works independently, and at the same time, keeps team members in constant communication to ensure deadlines are met. The Assistant Registrar will bring curiosity and show an interested in other roles and the information that others have, as well as, the past experiences of your coworkers. You understand the importance of developing a rapport with other departments as it is the interconnections between departments that drives your success.
