Responsibilities
New College of Florida is located in sunny Sarasota, on the beautiful Gulf Coast of Florida – an area known for its award-winning beaches, turquoise waters and arts and crafts attractions (from theatrical offerings to circus performances). Located about an hour’s drive from urban destinations like Tampa and St. Petersburg, Sarasota is an exhilarating coastal retreat.

As one of 12 universities in the State University System of Florida and the State of Florida’s designated honors college, New College provides an exceptional undergraduate education that transforms students’ intellectual curiosity into extraordinary personal accomplishment.
  • Implements FERPA/privacy regulations when disseminating applicant information to internal and external groups.
  • Identifies and inventories appropriate academic records and application materials of newly enrolling students, for transfer to their permanent files in the Office of the Registrar.
  • Creates and updates prospective student information in both Slate and Banner.
  • Maintains and monitors the electronic and paper filing systems of all applications, transcripts, test scores, recommendations, and other supporting documents related to the admissions process.
  • Assists with supervision of volunteers and student staff on operations projects (preparing mailings, opening mail and filing application materials).
  • Monitors and maintains prospective student information in Slate to ensure efficient completion of application files and accurate recordkeeping.
  • Tracks and prepares application fees and admission deposits for submission to the Business office to ensure records will reflect appropriate handling and due diligence upon Audit.
  • Requests and downloads application materials from multiple electronic sources (Parchment, CommonApp, SCOIR, etc.)
  • Advises prospective students/parents regarding fee payment through the online payment gateway.
  • Interprets College admissions policies and procedures relevant to the application process, determining which files are ready for Admissions Committee Review.
  • Advises prospective students and their parents regarding appropriate residency documentation.
  • Monitors any changes to SUS requirements for residency for tuition purposes and modifies internal residency verification processes in accordance.
  • Assists other departments by updating appropriate Banner and Slate information.
  • Counsel prospective student inquires via phone, fax, or electronic mail providing answers to routine questions about the status of their application.
  • Evaluates and determines residency for tuition purposes for all new applicants.
  • Reconciles prospective student records and application fees (including those held in suspense) in banner with appropriate student records in Slate to ensure data in both systems is accurate.
  • Evaluates requests for application fee waivers, approving as appropriate to ensure records will reflect due diligence upon audit.

Minimum Qualifications
A high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications
Associates Degree and a minimum of two years of data entry experience and one year experience in higher education and one year database experience. Prefer general clerical and personal computer experience.

Additional Information
Knowledge of standard office producers and practices, knowledge of proper punctuation and grammar. Skilled in basic computation, use of personal computer and Microsoft Word and Excel. Ability to communicate effectively, establish and maintain effective working relationships with others, proof documents for accuracy and completeness, establish priorities for work assignments, operate standard office equipment, and to work in a highly active, fast paced and deadline-driven office.
