Job Description

The Administrative Services Associate provides overall administrative support to the President and CEO, oversee the vendor management-related requirements of the business and HR-related concerns.


Core Responsibilities

Executive Administrative Management

  • Works with the Product & Business Development Team in preparation of presentations and minutes of meetings for the CEO
  • Assists the CEO in arranging the meetings and discussions
  • Provides administrative support to CEO
  • Works closely and partners with the Business & Product Development
  • Assists the CEO in tracking deliverables and assigned tasks of the various departments; works with these departments to ensure completion of the deliverable/assigned tasks
  • Assists the CEO in their record management requirements

Procurement/Vendor Management

  • Verifies invoice or billings received against items delivered/services rendered
  • Works with the various departments in regard to their supplies and other services requirements
  • Prepares Purchase Order and route for approval and coordinate with the vendor
  • Coordinates the processing of payments to Accounting Units
  • Routes requests regarding the CAPEX/OPEX requirements
  • Solicits and reviews the quotations submitted by the vendors to address the supply requirements of the departments
  • Makes recommendations on rationalizing and reducing expense in relation to supplies

HR-Related Tasks

  • Safekeeps employee information and movement
  • Handle HR-related concerns
  • Assists BPI Securities employees with HR-related concerns
  • Timekeeping and routing of requests concerning Payroll


Qualifications

  • At least 2 years of experience in administrative service
  • Bachelor's Degree in Business, Management, or any related course
