JOB SUMMARY
The University of Connecticut School of Social Work has an opening for an Administrative Program Support 1 to support the Implementation, Workforce Development, and Systems Design Division at Innovations Institute. Under general supervision, the Administrative Program Support 1 will provide administrative program support to the Technical Assistance Network (TAN), National Wraparound Implementation Center (NWIC), Mobile Response and Stabilization (MRSS), and other workforce initiatives. This position will have a thorough knowledge of the organization and programs and will have responsibility for office operations within established policies and procedures. This position will operate independently and may participate in more complex work with their supervisor. The position will be part of the School of Social Work’s growing portfolio in partnership with local, state, and federal government agencies and organizations on behalf of children, youth, and families. Positions with Innovations Institute are fully remote with expected travel to UConn’s Hartford Campus twice annually at the employee’s expense.
DUTIES AND RESPONSIBILITIES
- Performs related work as required.
- Maintains records and prepares necessary reports.
- Monitors office supply inventory and coordinates maintenance for office equipment.
- Coordinates a variety of data processing functions central to the department needs; schedules and produces routine computer reports and acts as a liaison with the media team for scheduling trainings, webinars, and meetings.
- Converts rough copies and drafts to final version quality reports, presentations, and documents. Includes incorporating edits from multiple reviewers, adding graphics and effects to presentations, and applying campus style guidelines.
- Provides general office support, including, responding to inquiries.
- Edits, formats, and revises a variety of documents and materials created by others. Proofreads for grammatical, typographical, and basic content errors.
- Maintains schedules for managers, supervisors, and other personnel. Schedules conference and day-to-day travel for the Department and processes reimbursements.
- Compiles data and prepares reports used to monitor or assess department activities, programs, and services or project future needs.
- Gathers and consolidates background information for reports, utilizing available resources such as departmental files, policy and procedure documents, internet research, and communication with internal and external contacts.
MINIMUM QUALIFICATIONS
- Associate’s degree in a related field and two to three years of related experience. An equivalent combination of education and experience may be substituted for the degree and years requirement.
- Proficient in Microsoft Office suite and related software applications, such as Adobe, PowerPoint, Excel, Word, Teams, and Zoom.
PREFERRED QUALIFICATIONS
- Excellent interpersonal skills, with proven ability to establish effective working relationships with coworkers and a variety of constituents, inside and outside the University.
- Excellent organizational and planning skills.
- Demonstrated ability to efficiently handle multiple tasks at one time.
- Clear, positive, and professional written, verbal, and non-verbal communication skills.
- Preference will be given to applicants who are located in the continental United States.
- Proven experience maintaining a database and performing related reporting.
APPOINTMENT TERMS
This is a full-time, end-dated position with the possibility of renewal subject to performance and funding. Positions with the Innovations Institute are fully remote and expected to travel to UConn's Hartford Campus twice annually at the employee's expense.
