As Gannett Fleming continues to grow and expand, we are looking for a talented Administrative Manager in our Construction Services corporate business group to grow our team. We rely on our energetic staff to share with us their unique perspectives and elevate the quality of our work. In this role, you will need to be a motivated leader with a positive attitude and management experience. You will directly supervise the business line project manager assistants and administrative staff and provide support and report to the Construction Services business line Director, assisting him in meetings and understanding the business line performance goals and metrics.

Principal Responsibilities and essential functions
Manages and leads business line project manager assistant and administrative staff:
- Strive for technical excellence through staff development
- Exemplify and encourage the best customer service for internal and external customers
- Promote best practices, consistency, and standards throughout the firm
- Improve efficiencies.
- Ensure the proper and timely flow of all administrative processes and communications
- Overseeing staff compliance with corporate requirements, guidelines, and directives,
- Assigning responsibilities for the completion of all administrative tasks
Assists the Business Line Director in tracking and meeting the Business Line’s performance goals and metrics, including, overhead management, quality requirements, accounts receivable, revenue recognition, and project performance.
- Working closely with the business line Director’s Executive Assistant
- Confirming quality compliance and consistency of work products by staff.
- Monitoring, reporting, and taking corrective actions regarding Accounts Receivable, Accounts Payable, Revenue Recognition, Project budget maintenance, etc.
- Visibly supporting and providing an efficient communications link between the employees in the Business Line and all company policies, procedures, directives, and activities
- Monitoring and reporting of performance, with review of metrics; with distribution of data and follow up as required
- Coordinating directly with Shared Services staff to resolve human resources quality, safety, financial and operational matters, and serving as a central point of contact in disseminating information related to the business line.
- Monitoring the metrics related to business line strategic action plan investments
- Annual projection application coordination and support.
Supports the administrative needs of the business line field personnel.
- Administering the Construction Services seasonal leave program including coordinating with HR, Payroll, Administrative Staff, and operations Managers to ensure program compliance.
- Leading field data collection to support the administrative needs of field employees.
Education and Licensing requirements
- Minimum of 15 years of applicable experience within administrative management
- Degree preferred
Training, Skills, Knowledge and/or Experience
- Project Management skills,
- Resource management
- Composition of grammatically correct, concise, and situation sensitive professional quality documents
- Excellent and adaptable verbal communication,
- High level of professionalism and discretion in business matters to handle confidential information
- Excellent customer service skills.
- Vision to identify, analyze, communicate, and implement process improvements,
- Ability to research, interpret, and apply information resources, programs, policies, and procedures,
- Multitasking & Prioritization skills,
