Job Description
Johns Hopkins Carey Business School is seeking an Administrative Manager . This position will support the school's faculty and Centers in their research, teaching, and service activities. This role is a key leadership position responsible for managing OFR operations and staff. The primary responsibilities include team leadership, budget oversight, faculty support, academic support, and administration of policies and processes relevant to faculty. This position reports to the Associate Dean for Faculty Affairs (ADFA) and collaborates closely with other Carey School departments and all faculty.
Specific Duties & Responsibilities
OFR Department Management (50%)
Manages day-to-day operations for all OFR activities.
Manages timekeeping for exempt and non-exempt OFR employees, as prescribed by University policy, for accuracy and completeness.
Provides direction and leadership to the OFR department and Carey Centers staff in the performance of their duties, establishing work priorities, achieving school initiatives, professional development, and performance feedback.
Establishes annual departmental goals and monitors their accomplishment during the year.
Creates a work environment within OFR to foster a dynamic, collaborative, learning-oriented, high-functioning team, upholding Carey's values.
Trains staff on select new areas and initiatives in collaboration with the ADFA.
Reviews and sign all thank-you letters for guest speakers as a proxy for the Vice Dean for Faculty & Research (VDFR).
Works with the Operations department for facility matters for the OFR suite(s).
Travels occasionally between Harbor East and Washington D.C. campuses to support OFR initiatives.
Provides evening and weekend support, as needed, to manage specific OFR activities.
Faculty Support Activities (20%)
Works with the ADFA and VDFR to create an effective, supportive, and collaborative environment for faculty.
Reviews and signs as a proxy for the VDF all requisition forms submitted by faculty to purchase equipment and office supplies.
Manages faculty office allocations with Operations, IT, and Telecom departments and external contractors.
Oversees hotel space for FT & Adjunct faculty and office assignments for Visiting Scholars, faculty, and students.
Department Budget Management (15%)
Prepares the annual departmental budget for the VDFR's approval.
Oversees OFR expenditures during the year to ensure budget compliance.
Approves all expenses paid via Procurement Card (PCard) for the OFR department and faculty.
Reviews and oversees monthly budget reconciliations prepared by the OFR Budget Analyst.
Reviews and signs all invoices, purchase orders, non-employee reimbursements, and reimbursements for staff via SAP Concur.
Department Events & Activities (15%)
Supports the planning and coordination of OFR and faculty-related events, meetings, workshops, and academic conferences.
Works with Carey's Department of Events Management team to oversee the process for larger events (Tier 1 & 2), such as academic conferences, workshops, and meetings/retreats.
Works with Carey's Operations/Department of Events Management teams as primary POC for faculty engagement and venue stage setup for graduation.
Minimum Qualifications
Bachelor's Degree in Business, Finance, Accounting or other related field.
Five years progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit.
Master's degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Prior supervisory experience preferred.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
