Our tight-knit, nimble team is looking to add an ADMINISTRATIVE MANAGER to augment the firm’s strategic growth. This position is a critical support role and offers ample opportunity for an experience administrative professional to grow their responsibilities and career.
The ADMINISTRATIVE MANAGER will oversee general office operations and perform communications and administrative functions to assist the executive team. This team member will foster company culture and serve as a brand ambassador for the outside world, including welcoming guests to office, meetings, and events, and generally representing Keeley thoughtfully.
Primary Responsibilities:
  • Arrange and coordinate meetings, events, parking, and catering
  • Handle office invoices, expense reporting, and budget tracking
  • Coordination with IT department on internet, conferencing, computer, and equipment needs
  • Order signage and collateral; work with vendors on installation
  • Assist in the onboarding process for new hires and serve as point person for questions
  • Complete ownership of office manager duties including but not limited to maintenance, mailing, supplies, equipment, filing, billing, procurement, and errands
  • Manage facility vendors and contracts, including cleaning and building services
  • Liaise with internal team members at all levels as well as outside businesses, organizations, and industry partners
  • Manage inventory, uniforms, swag, and supplies
  • Manage and maintain executives’ calendars, appointments, and travel arrangements
  • Assist with payroll and team member record keeping
  • Presentation preparation and assembly
Minimum Qualifications:
  • Advanced skillset with Microsoft Office Suite products.
  • Minimum of 5 years of experience supporting similar primary responsibilities listed above.
  • Aligns with Keeley Properties mission, vision, values, and customer service promise to exceed expectations
  • Excellent communication skills – interpersonal, written, verbal and presentation.
  • Strong leadership and management skills.
  • Exhibits discretion, confidentiality, and attention to detail
  • Strong follow-up, organization, and project management skills
  • Ability to prioritize and manage time, keeping track of tasks and connecting dots across workstreams without letting anything fall through the cracks
