The Administrative Assistant provides support to the Professional Learning department to fulfill the Company’s education-focused mission. The Administrative Assistant will provide scheduling and travel support, track department project workflow, maintain essential databases (conference information, event attendance, engagement reporting), and support internal and external communication.
Key Responsibilities:
Department Support
- Schedule meetings both inside and outside of the department
- Support leadership in travel coordination (ground, air, hotel, etc.)
- Track Professional Learning project workflow through the Monday board
- Be the first point-of-contact for PL speaking engagement requests
- Maintain database of conference proposal submissions, presentations, and handouts
- Archive handouts and powerpoint decks, oversee version control
- Coordinate with home office for the shipping of presentation materials
- Coordinate with home office for shipping consultant materials
- Be the first point of contact for all traveling PL team members
Client Engagement Support
- Send out (pre-formatted) PL confirmation letters to clients at a regular cadence to support the upcoming events and support better district-level communication
- Oversee the archiving of engagement reports
- Cluster numbers for sessions delivered on a single day (ie PLL, PCK, PSI delivered all to the same target audience) to capture in SalesForce
- Maintain database of evaluations and feedback; utilize data for reporting
- With home office, prepare and distribute certificates of completion for online courses and workshops
Large District Client Support
- Support department's logistics/travel/coordination needs when consultants travel to the district for coaching
- Support the roll up of data from all implementation managers and coaches within district
Skills and Qualifications:
- Associate’s Degree or Bachelor’s Degree preferred
- At least one year experience as an administrative/executive assistant or customer service provider
- Ability to work independently to accomplish assigned tasks
- Working knowledge and understanding of Microsoft Office Suite including: Word, Excel, Publisher, and Outlook
- Demonstrated ability to maintain project deadlines and organization while multi-tasking
- Enjoy working with a team to achieve shared goals
- Professional customer service skills; able to communicate appropriately and in an articulate fashion to inside and outside clients.
- Excellent verbal and written communication skills
- Strong work ethic, ability to self-start, and pay attention to detail
- Interest in literacy and improving student reading achievement, with a desire to work with a high-performing team in a fast-paced environment toward an urgent mission.
