The People and Culture division at Utah Valley University is seeking an outgoing individual to support the division. Come work for the division that supports all employees across campus.


This position works in People & Culture under the direction of the Assistant to the VP of People and Culture. They will perform advanced and confidential administrative support duties, including composing complex correspondence, meeting minutes, monitor departmental budgets, reports, and office inventory of equipment and supplies. They will schedule meetings/appointments, maintain calendars, and process travel arrangements. Critical to this role\'s success will be superior verbal and written communication skills, excellent judgment, attention to detail, and ability to prioritize and complete tasks in a timely manner.


Summary Of Responsibilities


  • Performs advanced and confidential administrative support duties, including composing complex correspondence, coordinating meetings, agendas, meeting minutes, updating websites, financials, conducting research, and obtaining factual information requiring knowledge of UVU policies/procedures. Coordinates the preparation and submission of reports, publications, websites, and training materials.
  • Perform miscellaneous job-related duties as assigned, maintaining confidentiality at all times.
  • Prepares and manages division budgets. Coordinates department financial activities including ePAFs, timecards, requisitions, purchase orders, reconciling expenditures and purchasing card, index tracking and reconciliation, and budget balances. Assists with new employee processing and onboarding.
  • Oversees office supplies and keeps records of equipment as needed by the department. Establishes, updates, and maintains inventories, orders, receiving, billing, monitoring, and reconciling expenditures.


Minimum Qualifications


High school diploma or GED equivalent and a minimum of two years of administrative office experience related to the summary of duties.


Knowledge, Skill, and Abilities


Knowledge


Knowledge of the use of computers and computer software applications including word processing, spreadsheets, e-mail, databases, and presentations.


Knowledge of policies/procedures of both assigned and work-related areas.


Knowledge of best practices in communications, correspondence, and appropriate matters of etiquette in various settings or vehicles.


Knowledge of current and efficient practices in scheduling, administrative support, and events coordination.


Skills


Skills in operating basic office equipment.


Word processing and data entry skills including Microsoft Office Suite applications (i.e. Excel, Word, Outlook, PowerPoint, Teams) and other software applications such as OneDrive, SharePoint, and Adobe Creative Cloud products.


Organizing and coordinating skills Records maintenance skills


Strong interpersonal, problem-solving, and decision-making skills
