Job Responsibilities may include but are not limited to the following: The incumbent in this position provides administrative support to the Chief of Security (which includes all 161 uniformed staff on Day, Evening, and Night Shifts). Prepares correspondence regarding employee informal and formal disciplinary action. Types, edits, and places Post Orders on the KDOC Intranet. Maintains Security personnel files and time sheets. Schedules appointments for Security office staff. Ensures that all policy manuals are up-to-date (IMPP's, General Orders, Post Orders, etc.). Updates security equipment inventories including Armory and Key Control. As designee for the Emergency Preparedness Coordinator, assists in updating ECF contracts and maintains employee information for the Correctional Emergency Management System (CEMS) emergency call-back list. Posts memorandums and notices to staff as needed. Compiles reports and maintains and tracks monthly security statistical information. Assists the Administrative Captain in tracking reports required by Central Office. Serves as a Recorder during emergency situations and is responsible for preparing an Emergency After Action Log of chronological events for the Special Operations Response Team (SORT). Records minutes of meetings including monthly Operations Staff Meeting and SORT Squad Leaders meetings. Manages all telephone calls and departmental visitors. Posts Non-Contact List and Vulnerability Test Logs on KDOC Intranet. Maintains necessary information for annual budget report, requisitions, and office activities.


Qualifications:

Education: High School Diploma or GED.

Licensing & Certification: Must possess a valid Driver's License.

Minimum Qualifications: Six months of experience in general office, clerical, or administrative support work. Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications

Knowledge of English, spelling, grammar, and arithmetic; knowledge of the operation of office equipment, personal computers, scanners, and communication systems, including spreadsheet and database applications; knowledge of rules, regulations, policies, and procedures; knowledge of standard formats for letters, memorandums, and reports; knowledge of record keeping and reporting methods; ability to apply and explain rules, regulations, policies, and procedures; ability to understand and follow verbal and written instructions and effectively communicate, both verbally and in writing; ability to proofread and edit for grammar, spelling, syntax and style; compute, verify, and compare figures; detect discrepancies in information or records; ability to record, file, and transmit information; and ability to extract data and formulate reasonable conclusions from a variety of sources. Incumbent will need to have the ability to deal effectively with individuals. The incumbent must be capable of performing established Essential Physical Functions. An initial 6-month probationary period is required for new or promoted employees.
