Job Description

Using welding and other tools we join aluminum components to fabricate custom aluminum boats. Our customers include the US Navy and multiple police and fire departments. Job Summary The Administrative Assistant handles routine and advanced duties for other professionals. The Administrative Assistant organizes files, creates correspondence, prepares reports and documents, manages calendars to schedule appointments, sorts mail, prepares invoices and offers general staff support. He/She serves as an initial point of contact, answering phones and greeting visitors and is engaged in event planning, meeting setup and implementation. Responsibilities Provides administrative support to ensure efficient operation of office. Answers phone calls, schedules meetings and supports visitors. Carries out administrative duties such as filing, typing, copying, binding, scanning, maintains administrative file organization on LAB (L) drive on server, etc. Completes operational requirements by scheduling and assigning administrative projects and expediting work results. Prepares as assigned administrative documents and reports, marketing and sales documents, and production reports. Enters account data into viewpoint. Prepares correspondence as directed by the VP of Operations. Prepares billing documents, send invoices and collects receivables. Responsible for issuing Hull and HIN number. As required makes travel arrangements and generate itineraries. Schedules and coordinates tradeshows. Works with Director of Sales to manage government procurement contracts (GSA Schedule, HGAC and TXMAS) by ensuring contracts are up to date and in compliance. Maintains and updates company website and social media. Assists in the bidding process by reviewing bids to ensure the company complies with all administrative and government requirements of the City/County, government entity, etc., completes administrative parts of the bid, enlist Lake Assault on procurement websites to ensure the company is listed as a vendor and receives bid notices. Assist with warranty issues or customer needs/concerns as needed. Contributes to team effort by accomplishing related results as needed. Required Skills & Abilities Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Proficient with Microsoft Office Suite or related software. Qualifications Prior experience in a similar position preferred. GED or High School Diploma, or equivalent required. Must be able to pass a pre-employment drug screen. Must be able to pass a background screen. Physical requirements Position requires prolonged periods of sitting at a desk and working on a computer. Able to work in a manufacturing environment which includes moderate noise exposure, occasionally climbing up steep stairs/steps, walking for moderate periods of time over even and uneven terrain, reaching forward, overhead, and to the sides, etc. Requires listening and hearing ability and visual acuity.
