Rotating - 08 Hour (United States of America)

Under the supervision of the Stanford Health Care (SHC) Interpretation and Translation Manager, Assistant Managers and Supervisor, the Interpreter Services Administrative Assistant II / Dispatcher reports directly to the on-site Hospital Interpreters Supervisor, assists with Interpreter’s Office daily administrative tasks and dispatch. This includes greeting visitors; monitoring office supplies; using office desktop phones, smartphones, computers, printers, scanners, photocopiers; reviewing emails, answering/directing calls, and text messages; helping prepare daily schedules when needed; using software applications to dispatch interpreters of different languages to scheduled and last-minute requests; and assisting with other office tasks as assigned.

A Brief Overview
Provides administrative and clerical support to relieve department managers, directors or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the organization.

What you will do

  • Receive and direct visitors and clients
  • Prepare agendas for meetings and prepare schedules
  • Maintain office supply inventories
  • Retrieve documents from filing system
  • General clerical duties including photocopying, fax and mailing
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Prepare written responses to routine enquiries
  • Resolve administrative problems and inquiries
  • Coordinate maintenance of office equipment
  • Maintain electronic and hard copy filing system
  • Answer, screen and transfer inbound phone calls
  • Sort and distribute incoming correspondence
  • Handle requests for information and data
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors


Education Qualifications

  • High School Diploma or GED equivalent


Experience Qualifications

  • 5 years of work related experience

  • Knowledge of operation of standard office equipment.

Base Pay Scale: Generally starting at $39.20 - $44.15 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
