Assistant to Head Football Coach/ On-Campus Recruiting

Head Coach Administration:
Provide professional administrative assistance for the Head Football Coach (HFC).
Coordinate all correspondence, calendar, schedules, appointments, appearances, media requests, and overall HFC schedule.
Responsible for Head Coach expense reports and fiscal reporting.
Liaison with Communications, Marketing, Business, Development, Catering, and University Administration to support the Head Coach.
Provide support in screening daily mail, email and phone calls, analyze information and take initiative to respond when appropriate.
Coordinate all aspects of HFC vehicle administration, including registration, maintenance, lease details, etc. through the Business Office.
Manage all HFC compliance matters, occasional meals, event documentation, etc.
Creation of master calendar (Staff/Calendar) with Assistant Director of Football Operations.
Use professional judgment to interpret and execute work both independently and within established guidelines.
Special research projects as directed by the HFC.
Head Coach Recruiting/Travel:
Coordinate Head Coach travel and private recruiting travel while working with Recruiting and Operations departments.
Document all recruiting expense reports.
Head Coach recruiting compliance with recruiting personnel.
Coordinate recruiting calendar, calls, and events for Head Coach.
Team Travel:
Collect information for all members of the travel party (license, DOB, etc.).
Create and update (weekly) important travel documents such as Known Traveler List, flight manifest, master travel roster, pregame timeline, key contacts list, bus assignments, etc.
Create and distribute the weekly travel itinerary, travel letter, and six-fold pocket guides to full travel party.
Use Teamworks App to communicate itinerary, plus plane, bus, and hotel assignments for each traveler.
Request per diem through the Business Office for members of support staff, and distribute cards when necessary.
Liaise with security screening company and Air Planning for on-site passenger screening, both in Alumni Stadium and at away airport.
Post-game on the road, duties include dropping off rental vehicle at airport, working with security team to streamline passenger screening, organizing meal distribution while boarding plane.

On Campus Recruiting:
Coordinate the planning and organization of on campus recruiting.
Create long-term and daily recruiting itineraries and schedules.
Facilitate details of itineraries: reserving venues, securing hotels, renting cars, ordering food, seating charts, welcome packets, etc.
Work with Recruits and Families to gather information, complete paperwork, reserve travel (air and ground), book hotel rooms, etc.
Work with Coaches and Support Staff to execute visits on campus, at hotel, at meals, set up and breakdown for events, etc.
Serve as liaison to internal and external departments regarding on campus visits: Communications, Compliance, Academics, Video, S&C, Sports Med, hotels, restaurants, rental cars, etc.
Manage and submit all Compliance-related on campus recruiting paperwork via ARMS.

Game Day Operations
Manage head coach gameday suite operations – tickets, food, access, etc. by working with HFC and wife.
Manage football ticket allotment for home and away games, including player and coach/staff requests, by working with Ticketing and Compliance.
Request per diem through the Business Office for players and student staff, and distribute cards when necessary.
On site facilitation of away game ticket logistics for coaches, staff, and player families.
Recruiting game-day activities for the Head Coach, most importantly his tight timeline for recruit and guest meetings.
Hosting guests of the football program on gameday (on field, in suites, etc.).

Technology & Database Management
Assist in managing ARMS database.
Assist in managing Teamwork’s database.
Updating all team list, general lists, and spreadsheets on shared drive in regards to player and coaches/staff information.

Parent Administration
Manage the communication with BC football parent group year-round. Making them aware of calendars, practice schedules, etc.
Lead the overall parent coordination efforts.
Camp Administration
Assist in general camp administration and planning.
Assist in creation and updating camp manual and camp-related materials.
Assist in on site camp execution (administrative).

Coaches’ Wives Administration
Manage the coaches’ wives program with the Head Coach and his wife, including communication, budgeting, on-site operations, etc.
Miscellaneous Administration
Interact on a daily basis with coaches, university community, and public while championing the ideals of the program.
Staff functions/socials as directed by the Head Football Coach.
Provide professional administrative assistance for assistant coaches and support staff as directed by the Head Football Coach.


Full-Time Equivalent Hiring Range: $42,350 to $52,950; salary commensurate with relevant experience.


Requirements


Required:

Bachelor's Degree

2-4 years of experience in administrative capacities, preferably in a university athletics department or professional sports team setting
