Job Description
Under general supervision of the board administrator will serve as administrative support to the administrator and the board. Responsible for coordinating management activities with the daily operation and license processes and disciplinary compliance. Perform professionally as the board and administrator representative with the public, members of the profession, and other government agencies and the private sector.
Processes initial and endorsement applications for licensure. Prepares and mails correspondence and information to applicants regarding application status or missing items. Processes all examination score reports, and reviews and ensures the accuracy of detailed reports. Maintains on a daily basis the applicant's correspondence received and updates data information into ReLAES. Issues certifications and licensure documents when applicants are approved and maintain files. Mails or e-mail correspondence to licensees to inform credential status and that licensure documents have been processed and mailed to the address of record. Processes all requests for licensure lists and emails to the requester. Processes verifications daily of licensees requests received.
Serves as assistant to the board administrator In coordinating and performing complex secretarial, administrative, and program activities associated with board management. Assists and prepares correspondence regarding board meetings, agendas, and timely notification to media of board meetings. Confirms with the court reporter the meeting date, time, and room number. Takes and transcribes all board meeting minutes, prepares travel documents, and tracks completion. Assists the administrator in planning, preparing, and coordinating disciplinary hearings, processing FOIA requests timely, and maintaining and tracking HIPPA reports and reports to CINBAD of all disciplinary actions. Posts disciplinary orders on the LLR website. Maintains compliance records for Chiropractic, OT, PT, and Speech/Aud Boards.
Assists the administrator with the coordination of renewal notices, sends e-blast to licensees regarding renewals, and ensures updated information is included on the renewal forms. Crosschecks current records and updates ReLaes database as required. Issues pocket cards with correct updated information. Assists with the coordination of continuing education audits. Assist administrator in conducting board elections for vacant or expired board seats.
Responsible for receiving and processing all board revenue, maintaining all financial transaction data, and processes, and making deposits within five days in accordance with agency policy. Processes paperwork as required for insufficient funds and updated database. Reconciles all finance reports. Responsible for monitoring supplies for the Chiropractor's board. Monitor and update the website and notifies the administrator of inaccuracies found on the website. Coordinates with the administrator and staff on the preparation/scheduling of meetings to include rooms, equipment, and court reporter. Prepares agenda and public notice of meetings in accordance with FOIA requirements. Compiles/prepares meeting materials via, website posting/CD/e-mails /iron key/mailouts. Prepare/distributes Board meeting minutes. Coordinates board travel and per diem reimbursements.
Performs other related duties as required.
State Minimum Requirements: A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
Knowledge of relevant laws, regulations, policies, and practices of office management. Knowledge of computerized bookkeeping and revenue Management. Knowledge of the principles, policies, and practices of office management. Knowledge of Applicable computer software programs. terminology, and data entry and research skills. Ability to communicate written and orally effectively. Ability to plan, organize work activities, and prioritize tasks. Ability to train other employees, and be courteous and effective with the public. The ability to exercise judgment, and discretion in interpreting and application of policies and procedures. Performs other duties as required.
Performs a variety of complex administrative technical support duties with general supervision. Perform secretarial and paraprofessional duties and all performances of administrative tasks.
Employees must be able to lift, carry, move and bend, and position objects weighing up to 25 pounds. The position is in an office environment.
