Job Description
Job Brief:


We are looking for an enthusiastic, responsible, and resourceful Administrative Account Manager to oversee the daily operations of our coffee roasting facility, the processing of customer orders and maintaining wholesale customer satisfaction. An ideal candidate should be friendly, organized, trustworthy, and be committed to upholding Frothy Monkey Roasting Co. standards. We are looking for a team member with a keen attention to detail and “can do” attitude. They will be part of a team of passionate folks and work closely with owners and management and the entire coffee roastery staff. This full-time position in a fun and exciting field is crucial to the success of our company and to maintaining our exceptional coffee standards. Plus, all the delicious coffee you can drink!


Full-time position, $45k - $50K based on experience, plus health/dental/life insurance, 401k benefit, paid vacation.


Monday - Friday, 9:00am - 5:00pm


Key Accountabilities Include but are not limited to:


  • Existing Customer Account Management:


Proactive Communication between customers, Sales Team, and Production Team


Weekly/Daily Production Schedule entry


Daily Order entry / Ordering Cut-off times / Special Orders


Customer Service and Solutions


Managing production pars to align with account needs


  • Duties also include a limited amount of assisting in the packaging of assorted coffee bags, while maintaining company product standards, and completing production operations in a timely manner. Other duties as requested
  • Scan and electronically file AR/AP documents using naming system in place
  • Coffee Lot Tracking per FDA Guidelines
  • Working knowledge of FMRC’s full product line and offerings (to be learned)
  • Record and reconcile customer payments received as electronic, cash & paper (PayPal/Web/EFT/Mail); send payment notifications as needed
  • Administrative assistance with Sales Team for product entry, customer interfaces, pricing structures, GPO agreements,
  • Outside Sales Support: maintaining accounting database for vendors / customers
  • Various office-type duties that might include filing, scanning, and organizing
  • Daily processing of customer orders and managing wholesale accounts
  • Entering tech invoices based upon Tech Work Order Forms
  • Daily coffee production scheduling with roasting team, “Roasting Schedule”
  • Processing orders for outbound shipment and freight / scheduling pick-ups
  • Inventory and Purchasing of non green coffee products, including but not limited to allied & branded products, office supplies – transfers, adjustments, receiving, end of month worksheets and data entry
  • Onboarding of new accounts
  • Manage multiple email inboxes – answering questions, routing and filing emails
  • Updating Coffee Offerings and Items in JotForm to keep all offerings to customers current


Minimum Qualifications:


  • Able to sit long hours in a high work volume environment
  • Computerized accounting programs
  • Problem-solving ability and willing to work with sometime difficult and uncomfortable situations
  • Able to follow directions and willing to ask clarifying questions
  • Able to work within a team
  • Understanding of the Windows file structure and ability to work with it
  • Willingness to learn current systems, logistics, and schedules of company and work within those
  • Competence with iOS, Google Suite, and Microsoft Office
  • Technical experience with computers that includes:
  • Prior knowledge of Quickbooks systems a PLUS, but not required
  • Proven ability to work with limited supervision
  • Able to stand limited hours for occasionally assisting duties in warehouse
  • Detail-oriented and efficient, with a systems-based approach
