JOB DESCRIPTION


The Georgia Vocational Rehabilitation Agency is seeking to fill Office Assistant positions in the following offices:

  • Albany

Interested candidates must be willing and able to work at either one of the offices listed above. Office preference of candidates will be considered but is not guaranteed. The posting may be closed upon establishment of a sufficient pool of candidates.


Summary/Objective

Under general supervision, performs comprehensive clerical and support duties. Duties include gathering information, entering data, preparing correspondence, maintaining records, and providing accurate information and assistance regarding authorization and invoice of services provided for individuals with disabilities.


Essential Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Provides general administrative support to a Vocational Rehabilitation office to include, receptionist duties, answers office phones, monitor and maintain office supplies, may open and close office, etc.
  • Provides information to educate the public, other agencies, vendors and potential customers about rehabilitation authorization and invoice of services.
  • Maintaining a positive, empathetic, and professional attitude toward customers at all times.
  • Interviews individuals with disabilities to obtain information and provides referral services.
  • Prepares and sends correspondence according to vocational rehabilitation policies and procedures.
  • Enters accurate participant data in the client information system at the direction of the counselor, as well as captures reporting data.
  • Processes and monitors authorizations and invoices for rehabilitation services in accordance with policies and procedures.
  • Maintains communication with clients, providers, partners and other stakeholders.
  • Observes rules of confidentiality as stated by departmental guidelines in the

dissemination and interpretation of test results and other case file information.

  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers and smartphones.


Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or

feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00

a.m. to 5 p.m. This position may occasionally require long hours and weekend work.


Travel

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.


Minimum Education and Experience

High school diploma or GED AND Four years of progressively complex office or administrative experience

Preferred Education and Experience

  • Associates Degree in Business or related field
  • One (1) or more years of experience working with individuals with disabilities
  • Five (5) or more years of experience providing advance level administrative assistance to professional level staff

Under broad supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Completes tasks and assignments associated with administrative support functions (ie, licensure, personnel, purchasing, records management, inventory, or similar function). Provides clerical support such as incidental typing, filing, ordering supplies, and sorting mail. Provides clerical support within assigned functional area (ie processing/transactions, review of applications, scheduling training, scheduling facilities maintenance, reconciling financial records, assessing/collecting fees for a program, generating rep. Provides general clerical support to an office, to include such tasks as data entry/maintenance, copying/distributing documents and materials, maintaining record-keeping and filing systems, etc. Provides secretarial and administrative support to an upper-level manager. Uses independent judgment and initiative to perform administrative, clerical and secretarial duties in support of an individual employee or group of employees. May serve as a lead worker. May train subordinate staff in proper procedures of day-to-day operations. Performs job responsibilities with minimal supervision.
