Salary Range: Up to $43,000 depending on experience and education



Provide backup to the Grants Manager of the newly awarded ARPA funds. Reporting to the Grants Manager, this position will provide administrative support in relation to compliance and budgeting, financial management, database, and grant files and records. This role will also provide administrative support to the Grants Manager and performs other duties as assigned.


Key Responsibilities


  • Coordinate with the Accounting team on payment matters.
  • Data entry and coding in grants database; uploading grant-related documentation.
  • Track and monitor payments to subgrantees.
  • Maintain and archive grant-related files.
  • Support the preparation of reports for the Office of Management and Enterprise Services (OMES).
  • Assist in monitoring expenditure responsibility and pass-through requirements.
  • Other duties as assigned.
  • Run reports in the grant management software, as needed.
  • Assist with the annual audit.
  • Provide administrative support to the Grants Manager by helping to coordinate meetings and travel.
  • Review payment request packets submitted by subgrantees for compliance to grant requirements, and ensure all packets are received in a timely manner.
  • Participate in reviewing grant reporting for compliance and following up with subgrantees on any outstanding issues presented.


Qualifications


  • Strong knowledge of and ability to use computer technology to accomplish work efficiently, using email, the Internet, data management software, and Microsoft Office programs, including Word, Excel, and Outlook.
  • Ability to work independently on multiple tasks, prioritize, and work under pressure.
  • Excellent written, verbal, analytical, and organizational skills. Ability to analyze and proofread documents with attention to detail.
  • Excellent interpersonal skills, including the ability to be consistently diplomatic, tactful, and professional, and to interact effectively with all levels of staff and external parties.
  • Willingness and desire to take initiative.
  • Effective time management skills, with the ability to manage multiple deadlines simultaneously.


Education and Experience


  • Experience working with Federal Grants preferred.
  • Experience with accounting or data management software required.
  • High School Diploma required; Bachelor’s Degree preferred.
  • Two years of related work experience (bookkeeping, technical accounting, clerical)
