Job Description
The Academic Program Management Specialist will provide academic support and coordination for programs in the Department of Educational Policy and Leadership Studies, including scheduling, monitoring, and maintaining course information; coordinating with faculty, instructors, and university departments; liaising from EPLS to university departments and to faculty, staff, students and public; creating a welcoming environment for students, staff, faculty, and visitors to the department; and providing primary administrative support to the DEO.


Location: The College of Education, Lindquist Center.


Appointment: This is a full- time appointment that will be required to be primarily located in the Lindquist Center.


Specific Job Duties And Tasks


  • Academic Program Management (Planning, Designing, Integrating, and Evaluating Curriculum): Assist with the development of academic program materials to meet departmental goals. Assist in identifying benchmarks and anticipating barriers. May provide administrative oversight and coordination of educational programs.
  • Budget Oversight and Operational Management: May perform and coordinate cash management, procurement, and travel procedures. Maintain accurate financial reports and track program expenditures. Advise management on budgetary needs or discrepancies.
  • Liaise with graduate students, undergraduate students, prospective students, and faculty regarding program requirements, departmental policies, and University regulations.
  • Recruit, Admit and Retain Prospective and Current Students for Programs, Major Departments or Colleges: Plan and implement student recruitment activities (e.g., Recruitment fairs, Visiting Student Days, Orientation). Coordinate/manage the recruitment activities for respective program or department. Consult with and explain admission policies and procedures to secondary schools, community colleges, and other educational institutions and external organizations. Advise prospective students regarding admission; evaluate transcripts; make admission decisions regarding routine exceptions and petitions. Assist with determining degree progression, career planning and retention. May serve as the Designated School Official (DSO) for department or college. Analyze admissions data; develop; maintain and monitor reports to support program goals.
  • Develop and maintain student handbooks and ICON resource hubs for student and faculty use; update related materials for distribution.
  • Academic Standards and Curricular Policies: Recommend revisions to policies and procedures. Develop or maintain accurate program materials. Update and incorporate changes into internal and external documents. Assist in identifying recurring problems that may require further study.
  • Enrollment Management: Participate in the management of course enrollments; collect admissions data from multiple sources; assist in the development and maintenance of reports.
  • Support the recruitment activities of EPLS programs by coordinating visits, securing space, and collaborating with student committees to provide administrative support to plan events.
  • Schedule academic courses including room assignments and instructor information. Manage courses on MAUI, including coordinating the department certificate programs.

The Department of Educational Policy and Leadership Studies (EPLS) administers programs designed to prepare education leaders, teachers, professors, and researchers in the fields of higher education, student affairs, educational leadership, culture and society, institutional effectiveness, and school systems.


The College of Education offers more than 80 undergraduate and graduate degree programs, including licensure, endorsement, and certificate programs, many of which are regularly ranked among the best in the nation.  Students study with our world-renowned faculty who are the leaders in their fields.  Our college is comprised of four departments: Educational Policy and Leadership Studies, Psychological and Quantitative Foundations, Counselor Education, and Teaching and Learning. The College houses several Centers that support work in critical areas of education, including UI REACH, Iowa Reading Research Center, Iowa Center for School Mental Health, and the Belin-Blank Center for Gifted Education and Talent Development.  


Education Requirement


  • Bachelor’s degree or equivalent combination of related education and experience. Typical experience of 3 years.


Required Qualifications


  • Extensive interpersonal skills to develop and enhance professional relationships with College of Education faculty, students, staff, and other internal and external stakeholders.
  • Extensive knowledge of the operation and application of academic standards and curricular policies; ability to coordinate and support academic activities to enhance the operation and function of the academic or clinical program.
  • Excellent verbal and written communication skills.
  • Technical proficiency with computer software programs such as Microsoft Outlook, Microsoft Word, Google Documents, Microsoft Excel. Please indicate technology skills in application materials.
  • Ability to work with individuals and groups in a constructive and respectful manner while appreciating the unique contribution of an inclusive workforce that brings together the talents of people across multiple backgrounds and identities.


Desired Qualifications


  • Master's degree in student Affairs, Education Leadership, or related field.
  • Experience working in education in student affairs or academic administration.
  • Experience with University systems such as MAUI and ICON.
