Job Description
The mission of the University of St. Augustine for Health Sciences is the development of professional health care practitioners through innovation, individualized, and quality classroom, clinical, and distance education.

GENERAL SUMMARY
To provide administrative support to the Program Director/Assistant Program Director concerning all aspects of program operation. The MS-SLP program is comprised of a program maintained on the Austin campus, and a satellite program on the Dallas campus. The MS-SLP Academic Program Assistant (Dallas campus) will provide support to the program, as a whole, in unison with the Senior Academic Program Assistant (Austin campus).

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Interact with faculty, staff, students, alumni, visitors, or outside agencies to relay University information, policies, procedures, and activities. This includes mail, email, faxes, and telephone messages.
  • Act as a back-up to Senior Academic Program Assistant and/or university Customer Service Coordinator when needed.
  • Coordinate office procedures including, but not limited to, correspondence, appointment scheduling, maintaining program equipment and functions.
  • Prepare, mail-out, and compile data necessary for programmatic functions, accreditation, etc.
  • Works under the direction of and in collaboration with the Senior Academic Program Assistant on various programmatic duties as assigned.
  • Prepare, furnish, and archive relevant information about the program for the website, catalog, accreditation, student and faculty information, and marketing operations.
  • Other responsibilities as assigned.
  • Attend department meetings and any scheduled retreats. Prepare agendas and record minutes and handouts. Distribute minutes on a timely basis.
  • Maintain faculty files for the Program Director/Assistant Program Director, process confidential faculty evaluations at the end of each semester.
  • Prepare, edit, and proofread documents, ensuring quality of all programmatic documentation and correspondences.
  • Prepare various types of media for course related materials for distribution to students.
  • Assist in planning, coordinating, and setting up for student experiences (e.g., residency weeks and pinning ceremonies).

OTHER DUTIES AND RESPONSIBILITIES
May perform other duties and responsibilities that management may deem necessary from time to time.

POSITION IN ORGANIZATION
REPORTS TO : Assistant Academic Program Director or Program Director
POSITIONS SUPERVISED : This position has no direct reports but may manage student worker schedules and timesheets, if assigned.

  • Intermediate to advanced experience with Microsoft Office products such as Windows, Word, Excel, PowerPoint.

EDUCATION and/or EXPERIENCE
  • Minimum of three years of experience as an administrative assistant.
  • Minimum of high school diploma or equivalent (bachelor’s degree or vocational training in office skills preferred).
  • Experience with project management
  • Willingness to work a flexible schedule when required.
  • Demonstrated ability to establish and maintain positive working relationships with the public, supervisors, students, professional staff/faculty, and co-workers.

TRAVEL
Position may be required to travel.
