Receive work requests from the community, prioritize, process, and schedule said work, as well as preventative maintenance on equipment. Communicate effectively with the campus, keeping them updated on their requests. Scheduling and assigning vehicles and/or drivers for various departments for student trips, community service/learning, and/or meetings and conferences. Maintain various reports and perform end-of-month billing. This position is an essential employee and will be required to report to work even at times when the campus may be otherwise closed.
Essential Job Functions:
  • Receive information from the community regarding pest control (mice, spiders, bugs, etc.) and assign a mechanic or environmental services to take care of the call. Note in the pest control logbook to add to their weekly visits. If an emergency pest control situation comes up, notify the FMS supervisor as soon as possible for directions.
  • Retrieve event information weekly from the events meeting. Create and issue work orders to staff and environmental services. Pull weekly and weekend reports of events for the mechanic to adjust the temperatures in the buildings/rooms to ensure patrons are comfortable. Create monthly billing for all events work that was completed by FMS and environmental services. Monthly reports and billing will reflect how many total events were scheduled, how many needed staff, tablecloths, trashcans, ground crews, etc. relating to their event (calendar and fiscal). Create work orders and billing for field usage and camps. Create reports and generate them as requested.
  • Attend meetings and assist with other projects as assigned.
  • Schedule drivers and vehicles for trips when requested, making sure drivers have all the necessary information to pick up participants and drop them off at their destination. Assist faculty and students with paperwork relating to renting vehicles, giving a brief rundown of what is needed when filling out the paperwork. Schedule the vehicles in the work management program to make sure the vehicles are inspected before they leave the parking lot. Maintain information regarding vehicle rentals and driver’s hours for the purpose of monthly billing to the various departments.
  • Receive work requests, enter requests into the work management system, prioritize and schedule work. Follow up with students/professors/staff to notify them of any delays with their requests. Ensure work orders and preventative maintenance work are distributed to staff. Follow up with the staff to complete work in a timely manner or identify delays in work. Ensure the staff is entering hours, parts, and closing out work orders. Maintain weekly/monthly/yearly reports. Train the staff on the mobile TMA system. Complete all updates to the work management system.
  • Maintain records for all buildings, enter new or update repaired equipment. Update the work management system after the completion of projects or construction. Add in any new buildings after they have been constructed. Keep and update records for boiler and elevator inspections and licenses. Generate monthly billing reports, weekly vehicle reports, daily events, and work schedules.
  • Issue building/area keys to the mechanics for specific locations, and log on the sign-out sheet (take time to ensure keys are returned at the end of the day). Sign contractors in, and issue badges, entry cards, and keys to buildings as required. Notify mechanics of the contractor’s arrival. Sign completed paperwork when necessary. Notify supervisors of what was completed, if the work was finished, or if there is additional work to be done.
  • Maintain communication with mechanics and environmental services staff via 2-way radio for work requests and any emergencies that arise.
Education:
Required: High School Diploma
Preferred: Associate’s degree
Professional Experience:
Required: 5 yrs. experience in computerized dispatching systems.
Preferred: 5 yrs. experience in computerized dispatching in a college or university.
