Job Description

SUMMARY: Under the direction of the Supervisory Realty Specialist, Veterans Allotment Act Coordinator provides Technical Assistant for Realty in managing John D. Dingell, Jr. Conservation, Management, and Recreation Act (Veterans Allotment Act). VAA Coordinator is responsible for the Real Estate Services function of the Realty Department. This position provides various types of service providing assistance in contacting veterans or heirs of deceased veterans, respond to clients’ requests for available land information and maps, assist in obtaining Personal Representative for deceased veterans, preparing application for land claims, reviewing land claims applications, prepare case files for submission to the Bureau of Land Management for approval of land claims applications. The primary function of this position is overall management of land claims for Veterans under John D. Dingell, Jr. Conservation, Management, and Recreation Act (Veterans Allotment Act), initiate case files, and to prepare complete case files for submission to the BLM for review and approval of Native Allotment applications. This position is open for 5 years and may extend as needed until completion of Land Claims for qualified Veterans.


PERFORMANCE RESPONSIBILITIES: include the following. Other duties may be assigned.

  • Receives one-on-one technical direction from the Supervisory Realty Specialist or designee.
  • Travels in and out of the region as required.
  • Ensures transactions are prepared in accordance with federal regulations and BLM policies and are in the long-range best interests of the veteran landowner.
  • Follows-up routinely with clients and other agencies to obtain information or documentation necessary for completion and submission of transactions package to the Bureau of Indian Affairs (BIA).
  • Obtains legal documents through various agencies as needed.
  • Provides routine reports in a timely manner and ad hoc reports upon request.
  • Maintains and updates Native Allotment applications cases in all stages of case preparation, including but not limited to documenting thorough telephone logs of conversations with clients; emails related to the case file; and records of all case activity.
  • Compiles Veterans Native Allotment application package for submission to the Bureau of Land Management (BLM) for approval.
  • Maintains strict confidentiality of the department and clientele.
  • Organizes and maintains filing system for the department.
  • Opens new files, maintains records, responds to requests, and provides assistance.
  • Prepares thorough land ownership records research and responds to client requests for information.
  • Works cooperatively with private individuals and state and federal agencies.
  • Prepares and electronically records documents at the Department of Natural Resources Recorder’s Office.
  • Logs all incoming and outgoing correspondence related to Veterans Allotment Act.
  • Possesses basic knowledge and skills or the ability to learn and apply the Code of Federal Regulations (CFRs) and other directives related to Real Estate transactions of Federally restricted lands.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must possess strong written, oral, organizational, analytical, and computer skills. The individual must be able to perform each essential duty satisfactorily. EDUCATION AND EXPERIENCE:

Veteran Allotment Act Assistant: High school diploma or GED is required. Three (3) years of general clerical or secretarial experience is preferred. Proven ability to compile reports and prepare business correspondence. Proven ability to read and apply Code of Federal Regulations (CFRs) related Veteran Allotment Act and Probate.


This position is a Grade 6 and has a Salary Range of: $56,328 – $84,492
