About the Role

In your role as Title Clerk you will be responsible for vehicle titling and for the Department of Motor Vehicle DMV- specific deadlines regarding car dealership operations; ensuring that all titles title work and associated DMV paperwork are in hand prior to all sales; managing post-sale paperwork including Reports of Sale, DMV Transfer and Release of Liability forms, reassigning and sending titles to buyers, and managing all other DMV-related correspondence. You will plan for and maintain operational tasks as needed for each offsite department auction. Travelling to offsite sale events is required for this position.


Key Responsibilities

  • Manage pre-sale and post-sale transfer of ownership processes for both consigners and buyers.
  • Renew dealer licenses, and temporary permits for all dealerships.
  • Manage all VIN verifications for all cars and motorcycles sold in the USA.
  • Find third party dealers to run the auctions in the states where Bonhams is not a dealer.
  • Participate on the catalog production to insure the accuracy of the vehicles information such as year, make, model, chassis and engine numbers.
  • Supervise the compliance of the applicable laws and regulations to import/export vehicles for the auctions.
  • Manage, process, and approve dealership invoices.
  • Take the necessary actions to satisfy client concerns in a timely and cost-effective manner. Refer property related issues to appropriate specialist/consultant to answer as required. Escalate as needed.
  • Travel to offsite sales events as needed.
  • Lead dealership logistics and operations of every auction.
  • Formulate the DMV and sales tax based on the buyer’s garage address.
  • Keep up with the latest news, regulations, and deadlines that relate to all dealerships and DMV.
  • Advise clients about acceptable ownership documents to offer their vehicles at the auctions.
  • Coordinate with buyers and consignors post sale for removal of property and document exchange.
  • Develop, cultivate and maintain client relationships and customer service.
  • Create, process, and approve title and bond invoices.
  • Manage the proper archive of the electronic and physical departmental files with all consignor and buyers documents for each auction.
  • Organize the transportation of all vehicles to the Motorcar auctions.
  • Global dealer advisor for all vehicles sold in our overseas auctions in the United Kingdom and Europe.
  • Work with legal, accounting, and client services to ensure compliance of every sale
  • Additional projects as work load permits.
  • Manage and run operations, procedures, compliance, and licensing of five USA regular auctions in Arizona, California, Connecticut, Florida, and Rhode Island.
  • Provide assistance to Customer Services in resolution of client issues as necessary.
  • Support specialists team while consigning and selling cars.
  • Find and negotiate long distance title and registration services.
  • Manage all the administrative procedures that involve the consignment and transfer of ownership for vehicles offered/sold in all USA auctions from start to finish (such as contracts, liens, applicable sales tax, DMV forms, titling process, registration, and export/import documents)
  • Manage the transfer of ownership of nearly 800 high value collectible cars and motorcycles a year


In addition to the tasks and responsibilities listed, you may be required to perform other duties as assigned by your Manager.


Key Skills and Attributes


  • Excellent problem-resolution skills.
  • Bachelor’s Degree and 2+ years’ experience in an office environment.
  • Strong command of secretarial and administrative tasks.
  • Upbeat nature and excellent customer relations skills.
  • Basic understanding of sales tax laws, how tax applies to each specific vehicle sold, and ability to document tax exemptions and/or calculate the proper tax due on a sale.
  • Exceptional organization and communication skills.
  • PC proficiency with MS Office applications Word, Excel, Outlook and ability to learn other software programs.
  • Ability to interact and build relationships with clients via email, phone, and in-person interaction.
  • Knowledge of title/DMV issues required.
  • Experience in a car dealership a plus.
  • Ability to work under pressure and with multiple deadlines.
  • Ability to be self-sufficient as well as team oriented
