Job Description
While serving as the cell’s point person for processing documentation, scheduling, and ordering, the team coordinator supports the team lead with administrative tasks such as staffing, work instruction development, batch work order and cleaning recipe closing, and planning issues. Also, assists with performance tracking (downtime, achievement, scrap, etc.) and safety/quality incident investigations as needed.


  • Responsible for auditing area logbooks and ensuring compliance with GDPs. Resolves any discrepancies directly with the technician and keeps the team lead informed.
  • Creates the daily technician shift assignments and end of shift expectations. Verifies availability of material required on the work orders and resolves any discrepancies with Schedulers, Planners, Inventory Control, and the warehouse. Assists Team Leads and technicians in the research and resolution of work order variances for timely work order closing. Verifies status of store distros (created for each component on a work order) and completes the cycle in the WMS based on the designation of complete, created or partially allocated, or closed. Reports variations/discrepancies to all personnel impacted by the changes. Resolves work order issues for the timely closing of work orders. Reviews Processing work orders for documentation accuracy, performs reconciliation by reviewing / comparing manual entries recorded by production personnel on the production work orders with various Mary Kay Business Systems (MKBS) and elevates discrepancies for resolution. Ensures accuracy and completion of the process by signing off on work orders and changing work order status in the appropriate system in accordance to established Standard Operating Procedures (SOPs). Responsible for the custody and transfer of completed cosmetics Processing work orders for review and completion of the work order closing process according to established SOPs.
  • Attends daily, on-shift, production and pass-down meetings and makes recommendations of changes based on information passed down from other shifts, or other relevant information. Provides assistance to the Leadership team with the selection and staffing of overtime personnel, communication of overtime assignment changes, and posting of overtime schedules.
  • Creates and modifies existing work instructions to ensure documented requirements and activities are up to date. Facilities training with technicians as needed. Also creates and updates Quality events. Participates in quality event investigations.
  • Conducts investigation of various inventory discrepancies by searching in inventory tracking systems. Identifies cause of failure, communicates, finds, and makes data-based recommendations for resolution. Responds to requests and performs inventory adjustments to correct errors caused by system failures or user execution as requested by the Leadership team, Inventory Control or SCS Support. It also includes coordinating the involvement of responsible parties, performing necessary follow-up for issue resolution and reporting results to Leadership. Provides follow-up to all Inventory Control reporting and audits.

Education: High School Diploma or Equivalent


  • Must be able to follow, demonstrate and promote daily all safety rules and regulations as they apply to the production area.
  • Must have strong interpersonal skills and the proficient verbal and written communication skills to interface with other support groups.
  • Job requires two years or more of related experience in order to interpret and apply Standard Operating Procedures (SOPs) and assure accurate documentation is met. Must be proficient with current Good Manufacturing Practices (GMPs) requirements.
  • Must be extremely detail-oriented, well-organized and have the ability to multi-task in order to manage several tasks simultaneously. Must have good decision-making abilities and problem-solving techniques in order to conduct system searches and expedite communication to Leadership and correct inventory inaccuracies.
  • Must be able to type and possess data entry skills in order to utilize various computer business systems and applications (batch inquiry, inventory status, MS Excel, MS Word, etc.).
  • Shift or schedule change may be necessary due to changing business needs.
  • Must be able to sit approximately 80% of the time to perform the various clerical tasks related to this position. Must be able to stand, walk, bend, stoop, and lift up to 35 lbs. approximately 20% of the time to support the cell team and maintaining the work area neat and orderly.
  • Must have the ability to practice leadership principles in order to effectively communicate with Leadership, and team members, on staffing related issues that occur on a daily basis.
  • Requires the ability to read and write in English and perform mathematical calculations as demonstrated by successfully passing a math test, utilizing addition, subtraction, multiplication, division, decimals, and fractions typically acquired through a high school education or equivalent in order to complete paperwork and maintain production records and reports.
  • Must possess a thorough understanding of Mary Kay Business Systems (MKBS), operational procedures, packaging staffing guidelines and production scheduling principles.
