Job OverviewAre you the type of person who feels a sense of shared accomplishment when helping others' succeed? The HealthRIGHT 360 Operations team is looking for an organized, detail-oriented team player with excellent interpersonal skills to support the agency's operations. The Operations team helps support our front line clinical providers by making sure they have the tools they need to provide excellent service to the clients we serve.


Join our team of dedicated individuals committed to supporting those treating people in need of substance abuse, mental health, and primary care treatment.


The Operations Administrative Supervisor provides administrative assistance (including but not limited to organizing/scheduling meetings, recording meeting minutes, assisting with communication with stakeholders on projects, following up with stakeholders on help ticket communication, and assisting with a variety of reports) to the Vice President and Deputy Vice President of Operations. Manages the mail room operations and supervises the Office Manager/Receptionist in the mail room. Team member will operate with a focus on service and support, takes pride in the quality of their work, holds themselves and others accountable, follows through on obligations, effectively communicates and responds to inquiries, and engages their role with a sense of compassion and partnership to help further the agency's mission and goals.


Key Responsibilities


  • Assist with scanning and importing documents into various systems (i.e. facility and equipment related information into Maintenance Information System).
  • Prepares regular reports for the Operations Dept., including reports regarding expenses, inventory distributions, software license allocations, etc.
  • Follows up with help ticket status updates in Zendesk.
  • Helps track Maintenance & IT Network Operations tickets to communicate with stakeholders on statuses, and to follow up with the internal Operations staff.
  • Assist with communicating with internal and external stakeholders on Operations projects, including status updates, requests for information, communicating needed action items, and alerting Operations leadership when issues arise that may delay or negatively impact a project's scope or budget.
  • Assist with meeting scheduling, organizing, and recording of minutes/note taking.
  • Helps plan and coordinate retreat events for Operations teams.
  • Manages the mail room functions, including supervision of the Office Manager/Receptionist that services the mail room.
And, other duties as assigned.


Education And Knowledge, Skills And AbilitiesEducation And Experience Required


  • Experience in an administrative role.
  • High school diploma/GED required.
  • Valid California Driver's license.


Background Clearance Required


  • Must not be on active parole or probation.


Knowledge Required


  • Strong proficiency with Microsoft Office applications, specifically Word, Excel, Outlook and internet applications.
  • Clear understanding of appropriate staff/client boundaries.
  • Culturally competent and able to work with a diverse population.
