This position offers remote work allowing employees a combination of onsite and work from home options. Remote work schedule will be determined upon hire.

Job Summary


GateWay Community College (GWCC) is seeking a full-time, Student Services Director of Admissions and Records. The Director of Admissions and Records serves as the Registrar and provides leadership, directs, and coordinates all functions related to the Admissions and Records Office. The Director will have specialized and in-depth knowledge of regulations, policies, educational codes, and guidelines governing community college admissions and records, international students, and veterans programs. Additionally, the Director will have in-depth knowledge of regulations governing clock hour enrollment, residency, student fees, maintenance of instructor and student records, international students, transcript evaluation, certificate of completion, graduation, and attendance accounting for state and federal audit standards, requirements, and processes. In this role, the Director will manage and supervise staff and ensure compliance with state and federal law, MCCCD policy and other applicable rules and regulations. The Director is expected to create a friendly, inclusive and compassionate environment for students and at the same time resolve complex and difficult student, faculty, and staff issues. The Director must be innovative, collaborative, and proactive and constantly strive for continuous improvement in service, efficiency, automation and compliance as well as document business processes and create quality assurance checks so that others in the department and/or the college can be trained on admissions, records, and registration processes. To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work depending on business needs.

Essential Functions


40%- Responsible for administering admissions, records and registration at the college; develops and administers policies pertaining to the overall record keeping function of the college including class rosters, grading, student applications, permanent records, transcripts, grading, withdrawals, computer processing and statistical information; ensures compliance with state, federal and district regulations; implements business practices to protect the security and confidentiality of student records; prepares and certifies enrollment reports for state aid; assists with internal and external audits; serves as the Registrar for the college; Collaboratively leads and promotes the philosophy of the OneStop service by coordinating and developing service enhancements for the OneStop Enrollment Services Center.

20%- Directs the work of all staff in Admissions and Records. Ensures compliance with state and federal laws and MCCD policies, regulations, and procedures; confidentiality of student records; records retention policies; grade submission and other regulations.

20%- Interprets catalog policies and administrative regulations; resolves student problems related to area of responsibility; reviews and acts on student appeals; advises on and enforces college policies; corresponds with and works with faculty on related enrollment or graduation issues

10%- Coordinates functions with other college personnel; serves on various college and district committees; represents the college on the district-wide A&R Council and Maricopa initiatives


Minimum Qualifications


Master’s Degree from a regionally accredited institution in education, educational leadership or related field and four (4) years of educational program administration experience that includes two (2) years of management and supervision.

OR

Bachelor’s Degree from a regionally accredited institution in education, educational leadership or related field and six (6) years of educational program administration experience that includes two (2) years of management and supervision.

OR

Associate’s Degree from a regionally accredited institution and eight (8) years of educational program administration experience that includes two (2) years of management and supervision.

OR

High School Diploma or GED and ten (10) years of educational program administration experience that includes two (2) years of management and supervision.

Desired Qualifications


A. Five (5) years of experience as a director, manager or registrar in Admissions & Records in a college or university setting

B. Experience working with a diverse population such as students, staff and faculty

C. Five (5) or more years of experience administering and interpreting policies and regulations

D. Five (5) or more years of direct and indirect supervisory experience including hiring, training, coaching, performance review, and corrective action

E. Three (3) or more years of experience working with student information systems such as Peoplesoft, Banner, etc.

F. Experience with clock hour enrollment processes
