is one of 8 campuses within the LSU enterprise (LSU System). The LSU AgCenter includes the Louisiana Agricultural Experiment Station, which conducts agricultural-based research, and the Louisiana Cooperative Extension Service, which extends the knowledge derived from research to the people of the state. The AgCenter is headquartered in Baton Rouge and has 12 “on campus” academic departments and five regions which are made up of 16 branch research stations and an extension office in each parish. Position Description: This position’s primary role is the review and processing of purchase order invoices, auditing expense reports, and performing specific duties related to year-end close-out. The position may assist with a variety of other duties in Accounting Services.
45% Reconcile and process payment of purchase order invoices for the AgCenter; Review invoices for discrepancies. Audit transactions for accuracy and appropriateness of calculations, taxes, discounts, freight charges, proper authorization, and allowability according to State, Federal, University and AgCenter regulations and guidelines. Run reports to identify and report problems. Solve most problems independently. Notify units of changes needed. Work with other staff members and offices as appropriate. Discuss and resolve major problems in consultation with higher level Accounting Services staff.
30% Audit and approve expense reports for LaCarte credit card transactions and employee reimbursements, including related supporting documentation. Ensure compliance with University LaCarte Card Program Policy and procurement regulations and guidelines. Verify accuracy and appropriateness of amounts, purpose, and funding source. Ensure adequate documentation is included. Exercise judgment in application of regulations and required information. Ensure proper approvals are provided. Report issues of concern to higher level Accounting Services staff.
10% Collect and audit the State of Louisiana Daily Vehicle Usage Logs (MV3s) for all LSU AgCenter units. Audit for completeness and compliance with State Fleet Regulations. Communicate with LSU A&M Property Management about vehicle asset issues, registration with the Asset Management System Platform, and any vehicle related problems.
5% Provide guidance to faculty, staff, unit liaisons, unit heads, and administrative officials relative to the above functions. Recommend communications to be issued in response to changes or areas where additional training is needed. Assist in troubleshooting and problem resolution. Train new unit personnel. May make presentations at meetings such as orientation and administrative support unit workshops. May represent Accounting Services on various committees and at various meetings.
5% Learn the Workday ERP to accomplish work. Stay up to date, note and report configuration issues, recommend modifications to internal procedures, as necessary.
5% Assist Accounting Services in its compliance with the fiscal year-end closeout process by ensuring that all payments and accruals are processed and encumbrances are liquidated within the appropriate fiscal year. Complete these tasks in accordance with established deadlines to ensure that financial statements are fairly and accurately presented. Run reports to identify and report problems. Solve most problems independently and recommend solutions for significant issues.
Perform other duties as assigned.
Qualification Requirements: Baccalaureate degree, preferably in accounting or a related field. Experience in the public sector and/or a university setting is desirable. Must have excellent interpersonal, administrative, and organizational skills, along with strong computer skills. Candidate must have 2-3 years of related experience to be considered for the senior position.
