Job Description
We’re hiring a special projects program manager to develop systems for small & special projects to be successful on all fronts for Dowbuilt’s clients. Systems will be utilized by Special Projects PM’s who have at least 5 years of professional experience in construction management and/or architecture and Special Projects Superintendents who are integral to the overall building process.


This position partners with the Directors of Construction Management, Field Operations, Estimating, Scheduling and Safety to refine or modify Build's Project Systems to fit a special projects approach for estimating and scheduling, subcontractor buy-out, and project documentation/tracking including but not limited to submittal management, RFI’s, RFP’s and CO’s. The Special Projects Program Manager must have a highly developed understanding of design intent and apply the mechanics of how things come together in the field to collaborate effectively with Dowbuilt’s project teams, architects, vendors, subs, suppliers and consultants.

What You’ll Do


As a Special Projects PM you’ll be responsible for:


Program Definition and Subcontract System Development


  • Utilize subcontract & vendor/PO agreements, evaluate need to track in Sage/Acumatica
  • Define phases for estimating, pre-con, & construction with a corresponding PI sheet process
  • Create “build-light” Project Systems for special projects and implement them in all regions
  • Align or create regional short-form client agreements with proper labor rates by region
  • Define the parameters for what is considered a small or special project vs. Service or Build work
  • Subcontractor COI compliance and tracking
  • Determine a threshold for lien release management and tracking


Communication and Document Control


  • Establish an Internal Project Review (IPR) process for special projects to assure that the project and team is progressing towards success with 100% client satisfaction.
  • Establish a process for shop drawing review and client sign-off prior to fabrication
  • Define a Change Request process for scope, time, and cost impacts to estimates
  • Define a Submittals process so work performed will meet the desired design intent, can be constructed as designed, and meets an acceptable level of finish.
  • Define an RFI process for architectural inquiries for Dowbuilt and our subs to receive answers to design questions in a trackable document that minimizes the exposure and risk to Dowbuilt


Staffing Model and Resource Management


  • Identify potential subcontractors and suppliers, evaluate and provide feedback on subcontractor performance in company database
  • Determine a Staffing Model for executing special projects across all regions that utilizes labor sharing with Build or Service while minimizing competing for resources
  • Determine Safety protocols and site requirements, likely a hybrid between Build and Service’s protocols


Estimating and Cost Control


  • Review all estimates prepared by Special Projects PMs or Supers
  • Timberscan, hh2 AP & RP entries, routing, and approvals by project
  • Streamline ability to provide ROMs and Take-offs during pre-con
  • Shepherd projects from Service to Special Projects as appropriate
  • Set up Special Project Estimate templates by region
  • Initial Site Visits with project team including architect, designers, or Dowbuilt
  • Provide Estimates for Service Managers and Service Supers as appropriate


Employee Learning and Development


  • Engage in mentoring from Project Managers, Superintendents, and others within Dowbuilt
  • Consolidate all processes and resources for Special Project employees’ success on a Dashboard
  • Meet on a pre-scheduled interval or as needed with reporting and supporting positions in the form of 1:1 check-ins and annual performance reviews.


TRAVEL: Varying local and/or national travel may be required for this role, depending on project and office location. Less than 25% of the time.


What You Need To Succeed


To be successful in this role, you’ll need:


  • Remain current on industry trends and innovations, share knowledge among team
  • Experience with web-based solutions such as Smartsheet, ShareFile, Slack and Asana is preferred
  • Self-aware - remain flexible, curious, and courteous in all communications

  • General working knowledge of Sage 300 CRE PM and Cost Controlling Modules (ongoing training provided)
  • Demonstrate discretion and treat all proprietary company information as strictly confidential outside (and in some cases inside) the company.
  • Concise - gets to the point without using unneeded words or images.
  • Uphold respect, honesty and trust among team, subcontractor, and client
  • Valid driver’s license
  • Identify potential marketing leads to regional principal(s)
  • Persuasive - refer to objective criteria such as industry practice, project limitations and precedent.
  • High level of proficiency with MS Office Suite (Outlook, Excel, Word)
  • Bachelor’s degree in construction management, engineering, architecture, building science or a related field
  • At least 5 years of experience in construction administration (residential preferred)
  • Familiarity with Bluebeam and/or Adobe Acrobat is preferred
  • Establish and cultivate professional and personal contacts in the building industry
  • Exhibit and hold direct reports accountable to the following standards of effective communication (both written and verbal):
  • Clear - main ideas easily identified and understood.
  • Concrete - includes specific examples or explanations.
  • Ability to read and interpret architectural drawings

The compensation range for this position is: $100,000 - $130,000 annually
