Special Projects Manager - The Fifth Avenue Hotel

The Fifth Avenue Hotel is seeking an Administrative Assistant to join the opening team for the 153 room hotel. Carved out of an oasis of comfort and calm in the middle of bustling Manhattan, mindfully blending personal service, superlative design, distinctive cuisine, compelling art, and engaging cultural experiences. Every aspect of The Fifth Avenue Hotel is tailored to delight, engage and foster curiosity.

As the Special Projects Manager, you will play a pivotal role in coordinating, planning, and executing various strategic initiatives and projects aimed at enhancing the overall guest and team member experience and hotel performance. Your role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced luxury hotel environment. The Special Projects Manager reports directly to the Managing Director.

Your Focus

  • Guest Opportunities: Handle guest concerns, or special requests promptly and effectively. Take ownership of resolving issues and finding suitable solutions, collaborating with other hotel departments as necessary. Ensure all concerns from guests are tracked appropriately.
  • Strategic Planning: Work closely with the Executive Team to develop and execute strategic plans aligned with The Fifth’s goals. Provide insights and recommendations on potential projects that align with the hotel's strategy.
  • Travel and Expenses: Coordinate travel arrangements, including flights, accommodations, and transportations. Process expense reports in a timely manner.
  • Any other duties as assigned.
  • Flaneur: Create an environment where our guests can experience The Fifth Avenue Hotel in the way of a flaneur, where every detail is curated, tells a story and leaves a lasting impression.
  • Office Operations: Oversee general office operations, including maintaining office supplies, managing office equipment, and ensuring a clean and organized workspace.
  • Project Management: Lead and manage special projects from inception to completion, ensuring timelines are met and within budgets. Collaborate with cross-functional teams to define project scopes, objectives, and deliverables.
  • Meeting Coordination: Assist in organizing and coordinating meetings and special events hosted by the hotel on behalf of your Executives. This includes working with Sales/Catering in booking spaces, arranging banquet event orders, and coordinating audiovisual equipment.
  • Five Star Experience: Ensure a five star (and beyond) luxury level of service and hospitality is delivered to all who come to experience The Fifth.
  • Correspondence: Draft and prepare internal and external correspondence through memos, amenity cards, letters and emails on behalf of the people you support. Maintain effective communication channels within the hotel and with external stakeholders.
  • Executive Support: Provide support to your assigned Executive Leaders. Assist with managing calendars, scheduling appointments, coordinating meetings, preparing meeting agendas and minutes.
  • Documents: Manage and organize documents, records, and files in both physical and digital formats. Ensure confidentiality, accuracy, and accessibility of information. Assist with document retrieval and information dissemination as needed.

Position Requirements:

  • Exceptional customer service and communication skills.
  • Superior abilities in creating presentations.
  • Previous experience as a Project Manager is preferred.
  • Ability to work in a fast-paced environment, handle multiple tasks simultaneously, and prioritize effectively.
  • Strong attention to detail and organizational abilities.
  • Bachelor’s degree is preferred.
  • Experience within a luxury hotel environment is preferred.

Work Environment and Context:

Physical demands for this role include sitting for long periods of time.
  • Requires walking, pushing, lifting up to 25 pounds, bending and reaching.
