Job Description
University of Iowa Health Care has an opportunity for Senior Project Manager to join the Health Care Operations team. The PM works independently assuming primary responsibility for planning, directing, coordinating and delivering project activities through the entire project life cycle (from initiation to hand off to customer) that are broad in scope. The PM is responsible to achieve project objectives and completion on time, on budget, and in order to sustainably improve clinical operations.


The incumbent may independently lead one or multiple medium to large projects that have department or site level strategic importance. Project work has moderate to high risk and risk interdependencies, may have several interrelationships, and may have moderate to high costs associated. Responsible for managing established budget, participates in the creation and tracking of project budgets. Position requires strict adherence to budget management and guidelines of both the assigned department and the institution. Regularly provides project information to committees, project sponsors and department leadership (may include Portfolio Leadership). This position requires significant capacity to manage competing objectives, to prioritize, and to communicate information in clear and unambiguous terms to management and end user personnel. Project information may be visible at the committee and Department level (may include visibility to the Management Team and Portfolio Leadership (site/shield specific). The role may support projects of major complexity, as part of a program team in support of higher-level project managers.


Must have strong business acumen with the ability to work with people from diverse functional backgrounds and build relationships across the organization. May require matrix supervision, and evaluation of staff from other departments, divisions, and contractor/vendor resources. Also responsible for demonstrating the project focused culture at UI Health Care, and advises other staff regarding project management practices, methods and standards.


Position Responsibilities


  • Plan and schedule project timelines and milestones using appropriate tools; track project milestones and deliverables; develop and deliver progress reports, proposals, requirements documentation and presentations. Aid project managers in defining roles for each project team member to ensure all work is completed.
  • Demonstrate the “art of project management” going beyond the mechanics of project management methodologies to build trusted relationships and act as an internal project management consultant to business and clinical teams.
  • Build, develop and grow any relationships vital to the success of the project. Mentor other project managers.
  • Work with all levels to understand operations, develop plans and workflow, and execute change management. Ensure communications at all levels from department chairs to clinic staff.
  • Conduct closing reviews and create recommendations report to identify successful and unsuccessful project elements.
  • Develop best practices and tools for project execution and management. Training staff members on these tools and best practices.
  • Supervise and/or mentor staff in performance of duties. Provides advice and guidance to lower-level project managers and specialists as needed.
  • Bring an outstanding drive to transform health care in a meaningful way by utilizing passion, project skills and people engagement (3P) to deliver results.
  • Help determine the frequency and develop the content of status reports from the project team, analyze results and troubleshoot problem areas; proactively manage changes in project scope; identify potential crises and devise contingency plans.
  • Work closely with project owners/stakeholders on an ongoing basis; estimate resources and participants needed to achieve project goals. Assess needs for additional staff and/or resources and communicate recommendations to senior management.
  • Review staff project plans and aid in execution of plans. Ensure all projects include current state analysis with operational processes and data analysis, future state creation including pilots with proven success metrics, and detailed execution.
  • Define project scope, goals and deliverables that support Health System performance improvement goals in collaboration with senior management owners and stakeholders from various departments; develop full-scale project plans and associated communications documents; communicate effectively project expectations to team members and stakeholders in a timely and clear fashion.
  • Define project success criteria and disseminate them to involved parties throughout project life cycle.
  • Set and continually manage project expectations with team members and other stakeholders; delegate tasks and responsibilities to appropriate personnel; identify and resolve issues and conflicts within the project team in collaboration with senior management; identify and manage project dependencies and critical paths.


Required


  • Proficiency in MS Software (Teams, Word, Excel, PowerPoint and Outlook) and project management software applications.
  • Outstanding project management skills to lead strategic initiatives, identify business needs, provide effective solutions and manage the necessary resources to accomplish goals and objectives.
  • Demonstrated ability to successfully influence key stakeholders, integrating ideas to achieve outcomes.
  • Demonstrated strong ability to translate complex data/information into simple, actionable insights.
  • Ability to management multiple projects and prioritize work to meet deadlines.
  • Bachelor's degree in Business, Health Care or related field or an equivalent amount of education and experience.
  • Demonstrated ability to manage financial, organizational and staff resources.
  • Demonstrated experience in strategy implementation and project management. Ability to direct project scope, planning and tracking while meeting timeline and budget goals.
  • Demonstrated experience working with and managing relationships with senior level administration or leaders and ability to influence and motivate organizational constituencies.
  • 5+ years of project management experience.
  • Demonstrated experience working effectively in a diverse environment.
  • Excellent written, verbal and interpersonal communications skills. Ability to communicate complex information to all levels of the organization.


Desired


  • Experience working in PMO within health care/hospital operations.
  • Operational and/or financial management experience in an academic health care setting.
  • Progressively responsible experience in health care administration, business or operational planning with proven success in facilitating strategic initiatives.
  • Master's degree in Business, Health Care, or related field preferred.
  • Experience leading a clinical department.
  • Project Management certification (PMP) or relevant project management certification. In lieu of certification, eligibility for and plans to obtain project management certification.
  • Process Improvement, Lean, Six Sigma certification and/or experience.
  • Demonstrated experience coaching and influencing leaders and teams.


Health Care Operations intends to hire one candidate at either the Senior Project Manager (requisition 23002598) or Project Manager (requisition 23002599) level.
