Position Summary
The Secretarial Assistant III/Floater will be assigned to assist and support university departments, as needed, providing a full array of support services of clerical and administrative character.
Essential Functions
The Secretarial Assistant III/Floater will adapt to changing environments and perform a myriad of administrative duties including, but not limited to, the following:
  • Processes vendor quotes, invoices, expenses, travel approval and reimbursements through Accounts Payable, Purchasing and Budget; creates purchase orders in eMerchant and approves purchase order invoices.
  • Preparing letters, memoranda, and reports, including mail merge and electronic mail to send, receive and accomplish assigned tasks.
  • Monitor office supplies, equipment and inventory.
  • Serves as liaison with university administrative and academic departments to maintain a continued flow of pertinent/updated information for faculty, staff and students.
  • Using Banner to make general inquiries related to students and/or faculty.
  • Assist with meeting coordination which may include room reservations, parking reservations, physical plant set ups and coordination with dining.
  • Processing incoming and outgoing mail for the assigned department and maintaining essential files and records for assigned department.
  • Maintaining appointment calendar(s) for the administrators within the assigned department, including preparing confirming memoranda, letters or electronic mail.
  • Answering and screening incoming telephone calls to the assigned department; providing routine information to faculty, staff, students, and outside callers following established policies and procedures; referring requests for information to appropriate person in office.
  • Assists students with relevant information, academic forms and procedures, scheduled meetings, and general assistance.
Additional Functions
  • Performing related duties as assigned.
Prerequisite Qualifications
  • High school diploma required.
  • Demonstrated knowledge in Microsoft Office, Google Office Suite and other web technologies.
  • At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
  • Must be self-directed and possess initiative, be organized and have the ability to handle several projects simultaneously.
  • Three to Five years of secretarial/administrative experience required.
Preferred Qualifications
  • Knowledge of Banner is strongly desirable.
  • Experience in a public sector, higher education environment.
  • A college or business school degree from an accredited institution is preferred.
