Job Overview:
The Partnership Marketing Seasonal is responsible for the planning and execution of a 300+ person annual Parade volunteer dinner and supporting the planning of a separate Parade VIP reception for partners and sponsors. Additionally, this Seasonal will support the media/partnership teams with various tasks related to asset organization, mailings and promotional ordering. The position will interface with creative, finance, operations and external vendor partners.


Essential Functions:
Parade Volunteer Dinner
  • Work with event venue to plan sit down dinner for 300+ guests
  • Work with creative team to design event invitation & maintain guest list including all attendee correspondence
  • Act as main point of contact on event day to facilitate all event details
  • Responsible for event run of show, event presentations & video content
  • Partner with venue staff to oversee food, lighting, and all event arrangements
  • Identify potential on-site vendor activations and help negotiate contracts. (ie: DJ, photo booth, floral arrangements, thank you gifts etc.)
Parade VIP Reception:
  • Maintain guest list including all attendee correspondence
  • Arrange messenger services to/from studio and event location
  • Assist as point of contact on event day to help facilitate all event details
  • Assist in vendor research and set up
Other Responsibilities:
  • Responsible for event week location deliveries
  • Update/organize event photo system
  • Assist in promotional/ gift ordering and fulfillment/delivery as necessary
  • Maintain sponsor mailing list for various outreach mailings
  • Responsible for gathering various assets for event websites and maintaining organized files
  • Coordinate credentials and tickets for various mailings and maintain tracking records

Qualifications and Competencies:
High School Diploma or equivalent required
Bachelor's Degree from 4-year college or university preferred
1-2 years related experience

  • Ability to work a flexible schedule based on department and Company needs.
  • Ability to think creatively, strategically and technically
  • Proficiency in MAC OS, Adobe Creative Suite & MS Office programs is required
  • Practices open and continuous communication, values keeping others informed, effectively presenting information in a clear, concise manner.
  • Excellent leadership, facilitation, and interpersonal skills, with the ability to work across functional lines and at many levels.

Flexible with scheduling and available to work unconventional hours including evenings, overnights, weekends and/or holidays. Working July 4th and Thanksgiving Day should be expected.
