Job Summary
Reporting directly to director of Risk Strategy & Insurance, performs a wide range of complex and confidential administrative and clerical duties to support the business unit and manage specified projects/programs. Requires strong attention to detail, excellent communication and interpersonal skills and ability to provide timely information and service to a wide range of internal and external contacts. Requires knowledge of university and departmental policies and procedures. Includes responsibility for executive office management as appropriate.
Position Description
- Assists with Concur Reimbursement and P-Card reconciliation and reporting
- Uses multiple applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other industry specific (including RMIS) applications for preparing requested information to support the department and manage projects. Uses internet. Must have good online research skills.
- Coordinates and arranges logistics for meetings and events.
- Enrollment of automobiles in master insurance program and coordination of registration renewals
- Serves as back-up for critical team functions and cross-trains with other team members.
- Prepares and timely submits invoices for payment, payments for deposit and handles reimbursements across units.
- Contributes to unit goals by accomplishing related duties as required.
- Serves as IT point person for department; works with digital communications director for maintenance of webpage and other communications.
- Drafts, develops, implements, and administers departmental office systems, and procedures performing necessary support duties.
- Serves as principal source of information and training on assigned established unit/projects/programs, policies and advises constituents accordingly. Such projects/programs may include but are not limited to:
- Monitors and assists with reconciliation of claims and the budget including tracking expenditures and providing reports. Uses financial reporting tools. Prepares financial reports using on-line financial systems. May serve as approver for certain financial transactions representing the department
- Training/coordination of training for RMIS and self-service functions of website or intranet
- Management of updated and aggregated automobile schedule for underwriting purposes
- Serves as principal administrative contact and liaison for the department with university constituents and external contacts. Triages inquiries (phone, in-person and digital) and accordingly reviews, responds or routes for response. Manages appropriate follow-up action on inquiries/requests.
- As requested, runs and prepares financial reports through Harvard’s financial systems (HART).
- May manage complex calendars for the director and specified projects, arranges for meetings, appointments, and travel arrangements.
- Prepares and maintains unit’s records in compliance with university requirements and/or government regulations.
- Coordination of training for and administrative oversight of vendor/partner resource portals (e.g., Riskonnect, United Educators, MyRisk).

- Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- Attention to detail and excellent communication skills, both oral and written.
- Ability to work across teams and with a variety of projects and constituencies.
- Solid working knowledge of office processes and business policy development, project management, and related computer software and electronic communications tools.
- 3-5 years' related experience with proven office administration and strong customer service skills required.
