This position is based in Denver or Boulder - must be a resident of Colorado to be considered for the position. We offer a flexible schedule between working from home and in the office.
Position Overview: The Project Coordinator is primarily responsible for maintaining customer communications and coordinating project installations completed by our Residential Retrofit Solar department (Res EPC). A key role on the Residential Operations team, this position will manage a schedule of simultaneous project installations for our customers in coordination with project managers and install teams.. As the project becomes ready to be installed and has received the necessary approvals, this role will coordinate with the homeowner to schedule the solar installation. This will involve managing 6-7 installation crew calendars in a coordinated manner to ensure the crews move from job to job with efficiency and the customers are kept informed throughout the process, both so that they have a positive experience and so that we have the access we need to perform our work. The ideal candidate is proficient in Microsoft Excel, Salesforce, Smartsheet, and Outlook, is analytical, collaborative, and has experience working in a high-volume atmosphere.
Essential Functions
  • Communicate prioritization of jobs to warehouse so that they can stage materials effectively
  • Display kindness and be open to providing scheduling accommodations to internal and external stake holders without unintended consequences
  • Add, cancel or make changes to scheduled install dates as needed to create efficiencies and meet customer requirements
  • Reach out to Utility and Permitting Coordinators regarding permitting/interconnection status when necessary
  • Monitor progress of utility approvals and permitting, helping ensure projects move through operations in a reasonable timeline
  • Regularly communicate with crew leads and Project Managers to stay on top of job progress and customer communications in dynamic work environment
  • Resolve appointment conflicts for staff and customers as needed
  • Respond to scheduling questions and attend necessary scheduling meetings
  • Respond quickly to scheduling changes that result from unforeseen circumstances such as weather, PTO or sick time and update the relevant parties of all changes.
  • Speak with customers over the phone to schedule, remind and follow up on solar installation appointments
  • Promptly manage and respond to customer concerns and inquiries
  • Field general inquiries from customers or internal stakeholders and direct them to responsible person to resolve Perform other administrative tasks and special projects as needed
  • Produce and process schedules and reports as they are requested by the Operations Manager and Project Managers
  • Stay flexible and be able to respond to crews who move faster or slower than expected and adjust the schedule accordingly
  • Email, call or text reminders to customers when appropriate
Essential Knowledge, Skills & Abilities
  • Excellent communication skills in customer service
