Job Description
Registrar

Purpose

At Holberton School, we are dedicated to our students’ success and committed to providing them with our best service from start to finish. The Registrar must create and maintain collaborative working relationships with institutional leadership, education facilitators, and staff and support Holberton programs and policies as established by Holberton School and state board requirements. The Registrar acts as a central communication resource for academic and policy information related to student records management. The Registrar is responsible for the maintenance and integrity of the academic records. This position reports to the Lead Registrar.

Tasks

  • Supports the departments of Education and Career Services as required.
  • Support efforts to help students re-enter school and complete their education.
  • Prepare and disseminate all relevant information regarding institutional policies to appropriate staff, personnel, and students (new and existing)..

Work Activities:

Academic

  • Ensure syllabi are available to students via the student portal for each course prior to the course start date.
  • Enforces the provision of the Family Education Rights and Privacy Act (FERPA).
  • Establishes and maintains collaborative and effective working relationships with a diverse group of local and international Holberton employees.
  • Assist the Lead Registrar with end of term processing (repeat/replace processing, academic action processes, and communication with students related to academic actions).
  • Assist the leadership team with annual reporting.
  • Review and track student leaves of absence and Non-Scheduled Time Off to ensure policy compliance.
  • Assist the Lead Registrar in the development of the Academic Calendar and making scheduling updates in the intranet (LMS).
  • Participates in Commencement activities; certifies all student record documents related to program completion and produces final transcripts and diplomas.
  • Maintains the accuracy of student statuses within Holberton systems.
  • Seek and implement resolutions to issues and evaluate common trends.
  • Assist in the Development, evaluation, interpretation, and enforcement of Holberton and departmental policies, procedures, and strategies relative to the school’s academic mission.
  • Enforces compliance with the Catalog requirements as they pertain to the Registrar’s Office.
  • Other duties as assigned.
  • Assist the Director of Education and Lead Registrar in the transfer credit process and prior learning credit process (evaluation of transcripts, posting of credit, processing and ensuring compliance with transfer of credit process and procedures).
  • Maintain and provide student outcomes to the Holberton management and academic departments at the end of each course and trimester.
  • Recommend long-term solutions for frequently occurring student problems.
  • Participate as directed in new student orientations, re-entry orientations, graduation, new faculty orientation, professional development training, and various operational meetings/conference calls.
  • Execute functions assigned by the Lead Registrar (record creation, course schedule, meeting room assignment, grade processing, transcript issuance, manage student satisfactory academic progress (SAP), and student enrollment verification).
  • Ensures appropriate documentation is obtained in a timely manner and by following the proper protocols and Holberton policy and procedures.
  • Assist the Lead Registrar with beginning of term processing (building of terms and sessions, overseeing student roster, term activating students, and assigning student appointments).
  • Document all contact with students in Holberton’s student database.


Qualifications:

Education and Experience

The individual shall meet the following educational and experiential qualifications:

  • Strong interest in being an advocate for both faculty and students through direct and indirect interaction (i.e. procedural and systems development).
  • Excellent communication, leadership, and organizational skills.
  • Experience managing complex records systems and computer systems development in a registrar’s office or admissions office.
  • Ability to deal effectively with education facilitators, students, administrators, and staff, as well as various outside organizations and agencies in enforcing key academic policies.
  • Excellent technical, analytical, and problem-solving skills.
  • Successful supervisory experience in a people-oriented environment.
  • Bachelor's degree or, 3 years of relevant experience, preferably as a Registrar or in student records management.
